Full-Time, EXEMPT Role Objective:
The Manager, Executive Operations, provides strategic and operational support to executive leadership by driving organizational effectiveness, advancing key initiatives, managing governance and grant administration processes, and ensuring seamless execution of executive priorities. Serving as a central hub for coordination and accountability, this position fosters cross-functional collaboration, monitors organizational progress, and enables leadership to focus on high-impact decision-making while ensuring critical projects, grant-funded projects, board interactions, and organizational commitments are completed successfully with a high degree of professionalism, discretion, and confidentiality.Primary Responsibilities:
Executive Operations & Strategic Support Manage the day-to-day operations of the executive office, including meeting cadences, communication workflows, and follow-up processes that support executive effectiveness. Translate executive priorities into actionable project plans, timelines, deliverables, and measurable outcomes. Coordinate and monitor strategic initiatives, providing progress updates, identifying barriers, and facilitating timely completion of objectives. Conduct research, collect and analyze information, and prepare recommendations to support executive leadership. Facilitate communication and collaboration between leadership and departments to ensure alignment with organizational priorities. Independently manage special projects and assignments on behalf of executive leadership. Executive Administrative Leadership Manage complex executive calendars, scheduling, travel arrangements, meetings, and logistics. Prepare executive-ready presentations, reports, correspondence, briefing materials, spreadsheets, and other business communications. Anticipate leadership needs and proactively address issues to improve efficiency and effectiveness. Maintain executive office records, contracts, agreements, reports, and confidential documents in accordance with organizational policies. Ensure timely follow-up on executive action items and organizational commitments. Grant Administration & Compliance Support the preparation, submission, coordination, and implementation of grant applications and funded projects. Monitor grant timelines, deliverables, reporting requirements, and compliance obligations. Coordinate grant documentation, records management, and supporting materials. Assist with HRSA Electronic Handbooks functions and funder reporting activities. Track grant milestones and proactively communicate upcoming deadlines and responsibilities. Board Governance Support Coordinate all Board of Directors activities, including meeting scheduling, agenda development, board packet preparation, and logistics. Support board committee operations through scheduling, documentation, action-item tracking, and coordinating follow-up activities. Prepare, distribute, retain, and organize board materials, minutes, resolutions, and governance records. Maintain board records in accordance with organizational policies and regulatory requirements. Relationship Management Build and maintain effective working relationships with board members, executive leadership, staff, and external stakeholders. Serve as a professional representative of the executive office and the organization. Demonstrate exceptional responsiveness, customer service, professionalism, and follow through. Exercise sound judgment and maintain strict confidentiality in all interactions. Additional Responsibilities Perform duties in accordance with organizational values, competencies, policies, and procedures. Participate in organizational initiatives and continuous improvement activities. Perform other duties as assigned. Required Qualifications Exceptional written, verbal, and interpersonal communication skills. Strong organizational, project management, and time-management abilities. Excellent attention to detail and commitment to accuracy. Ability to manage multiple priorities and deadlines in a fast-paced environment. Demonstrated ability to work independently, exercise sound judgment, and solve complex problems. High degree of professionalism, integrity, confidentiality, and discretion. Strong relationship-building and collaboration skills. Ability to analyze information, identify trends, and develop actionable recommendations. Education, Experience & Technical Requirements Education Bachelor's degree preferred. Equivalent combination of education, training, and relevant experience may be considered. Experience Minimum of five (5) years of progressively responsible experience in executive support, operations, administration, project management, or a related field required. Minimum of three (3) years supporting executive-level leadership preferred. Experience managing projects, timelines, stakeholders, and organizational initiatives preferred. Grant management, compliance, and reporting experience required. Experience supporting boards of directors or governance processes preferred. Experience in a healthcare, community health center, nonprofit, or other highly regulated environment preferred. Technical Skills Advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, Teams, and related business applications. Strong calendar management and meeting coordination experience. Experience coordinating executive travel and logistics. Familiarity with HRSA Electronic Handbooks and federal grant reporting systems preferred.Licensure, Certifications, and Clearances:
