Position Summary This position is a member of the La Salle School of Business (LSB) team and works closely with the Dean's Office, academic departments, program directors, and other faculty and staff of the business school. This individual is primarily responsible for ensuring seamless academic operations within the business school, managing the schedules of the Dean and key business school committees, and carrying out daily administrative tasks in support of the business school's department chairs, faculty, program directors, and students.
The Coordinator of Operations also works closely with the following areas of the University to carry out his or her duties: Provost's Office, Enrollment Management, Marketing and Communications, Student Development & Campus Life, Finance & Administration, Advancement, alumni, and campus visitors (including prospective students and families).
Essential Duties 1. Administrative & Executive Support
Work in collaboration with the Dean, Associate Dean, and Assistant Deans. Assist with scheduling meetings (in-person or via Zoom) and daily administrative tasks.
Assist faculty, department chairs, and program directors with resolving any administrative questions or requests.
Record minutes at pertinent meetings and keep records of relevant materials in an organized manner.
Create and maintain email distribution lists and building directories for the Dean's Office, full-time faculty, adjunct faculty, and advisory boards.
2. Budgetary & Financial Operations
Serve as the business school's spend coordinator, enforcing University procurement policies and routing appropriate eForms accordingly.
Manage the submission of invoices for payment related to memberships, as well as products and services rendered by outside vendors (e.g., AACSB International, Bloomberg for Education, FastSigns, Sedona Systems, S&P Global, and more).
Coordinate the reimbursement process for faculty, staff, and anyone outside the University with previously approved expenses.
Complete monthly statement reconciliation for the Dean's University credit card using CentreSuite software.
3. Human Resources & Faculty Support
Assist in the recruiting and hiring process for new Business faculty and staff using University's PeopleAdmin software.
Assist with paperwork to onboard new student workers, graduate assistants, and supplemental instructors (SIs).
Serve as a point of contact for new faculty and staff, and gather necessary information (such as CVs, transcripts, and other relevant information) to share with HR and the Provost's Office.
Prepare adjunct and full-time faculty overload compensation with course assignments in Banner.
Maintain personnel files for all business school staff, full-time faculty, and adjuncts.
Serve as the point person for timesheet approval of student workers and graduate assistants.
4. Events, Recruitment, & Advisory Council Support
Project management for LSB events and alumni engagements (e.g., Bankers Day, Internal Sales Competitions, Beta Gamma Sigma Induction Ceremony, guest speakers, etc.).
Manage communications or events related to student recruitment (e.g., Open Houses, Blue & Gold Days, etc.) in partnership with Enrollment Management.
Provide support for the Business Advisory Council meetings and its members.
Book space using the University's online reservation system for events or meetings as requested by LSB faculty or staff.
5. Facilities, Technology, & Office Operations
Coordinate with University IT Office to assist Business faculty and staff with technology issues, and coordinate with Public Safety to address ID access issues for faculty, staff, and/or students.
Work with Facilities to coordinate maintenance within Founders' Hall as it relates to the business school.
Order office supplies and water cooler refills for business school areas as needed; do weekly rounds of building floors to assess individual department needs.
Manage the School of Business Amazon Prime and W.B. Mason business accounts.
6. Marketing & Communications
Manage the business school's Instagram account in accordance with University Marketing & Communications policies and procedures.
Manage the digital signage around Founders' Hall, adding photos or event advertisements as requested.
Secondary Responsibilities Other duties and assignments as necessary for the management of the business school and its programs.

Required Qualifications Bachelor's degree.
Prior experience in an administrative support role.
Experience with Microsoft Office tools including Word, Excel, and PowerPoint.
Experience with video conferencing software, such as Zoom.
Strong organizational skills and attention to detail.
Strong communication and time management skills.
Self-starter with ability to multi-task.
An understanding of the importance and necessity for confidentiality and privacy when handling sensitive information.
Ability to work in a team environment and independently to satisfy job requirements.

Preferred Qualifications Experience with Microsoft Outlook, Adobe Acrobat Pro, and Canva
Physical Requirements and/or Unusual Work Hours Light lifting of office supplies and furniture may be required.
