Job Description
Position Overview A growing family-owned property group in partnership with a FedEx franchise is seeking an Administrative Operations Manager to oversee and optimize core business operations. This role is responsible for managing administrative functions across both entities, improving operational processes, and supporting strategic decision-making. The position requires a high level of independent judgment, discretion, and ownership of key business functions. The successful candidate will act as a central operational leader, ensuring efficiency, compliance, and continuity across property management and logistics operations. Key Responsibilities Oversee and manage day-to-day administrative and operational functions across both business lines Develop, implement, and improve administrative systems, workflows, and internal processes Exercise independent judgment in prioritizing tasks, resolving operational issues, and recommending business solutions Manage vendor relationships, including selecting service providers, negotiating terms, and evaluating performance Oversee billing processes, expense tracking, and financial documentation; identify discrepancies and implement corrective actions Maintain and manage company records, contracts, insurance, and compliance documentation with accountability for accuracy and completeness Lead employee administrative functions, including onboarding processes, documentation standards, and compliance tracking Prepare and analyze reports to support operational and financial decision-making Act as a liaison between ownership and external partners, making decisions on routine matters without direct supervision Identify operational risks, inefficiencies, and gaps, and proactively implement improvements Track and ensure completion of key business initiatives, deadlines, and deliverables Provide high-level administrative and operational support to ownership, including handling sensitive and confidential matters Qualifications 3+ years of experience in operations management, business administration, or a related field Demonstrated ability to exercise independent judgment and manage business functions with minimal supervision Strong organizational and problem-solving skills with a process-improvement mindset Excellent written and verbal communication skills Proficiency in Microsoft Office (Excel, Word, Outlook) Experience with financial tracking, bookkeeping support, or QuickBooks preferred Background in property management, logistics, or small business operations strongly preferred Benefits Health, dental, and vision insurance options Paid time off Flexible hybrid work environment Opportunity for advancement within a growing multi-entity business Schedule Monday through Friday, full-time Availability during standard business hours required Looking for someone to go on-site once a week to Fed-Ex terminals or Alden Property locations
