Schedule:
This role will begin onsite in Leesburg, Monday-Friday, 9:30 AM-3:30 PM, with the opportunity to move into a hybrid and flexible schedule once the employee demonstrates strong follow-through, reliability, and the ability to complete work independently with minimal supervision. Build Your Career While Helping a Mission-Driven Program Grow PosAbilities Center is looking for a Client Services & Operations Coordinator to help manage the flow of client inquiries, applicant communication, administrative follow-up, and social media support. This is a great opportunity for an organized, motivated early-career professional who wants to learn how a growing human services organization operates from the inside. This role starts hourly and hands-on, but it is designed to grow. The right person may eventually lead key functions such as client intake, applicant flow, administrative systems, recruiting coordination, and community visibility. This is not a passive office assistant job. We are looking for someone who can follow through, communicate professionally, manage details, and eventually own systems. About PosAbilities Center PosAbilities Center provides structured, person-centered programs for individuals with intellectual and developmental disabilities. Our programs focus on independence, communication, social engagement, daily living skills, community participation, employability readiness, and individualized support. We are growing, and we need someone who can help strengthen the systems behind that growth. About the Role The Client Services & Operations Coordinator will support three core areas: Client Intake Flow You will help track new inquiries, follow up with families and referral sources, collect intake documents, organize client files, and prepare information for leadership review. Applicant Flow You will help manage job applicants, send responses, screen for basic availability, schedule interviews, update hiring trackers, and support the hiring process. Social Media and Visibility You will help maintain PosAbilities' online presence by preparing and posting approved content, sharing program updates, recruitment posts, staff highlights, service information, and community engagement content. What You'll Do Respond to new client inquiries and help track referrals. Follow up with families, applicants, support coordinators, and community contacts. Collect intake forms, applications, documents, and missing information. Maintain client intake trackers and applicant trackers. Send job applicant responses and help schedule interviews. Support job postings, applicant follow-up, and hiring communication. Organize documents in shared folders and internal systems. Prepare weekly status updates for leadership. Create and post approved social media content. Help organize program photos, flyers, recruitment posts, and community updates. Support scheduling, reminders, checklists, and administrative follow-up. Communicate professionally with families, applicants, staff, and community partners. Maintain confidentiality and professional boundaries at all times. Growth Track This role is designed to grow with the organization. A strong candidate may grow into responsibilities such as: Owning the client intake process. Managing applicant flow from application to interview. Coordinating job postings and recruitment follow-up. Maintaining weekly social media and community visibility systems. Building trackers, templates, and repeatable workflows. Supporting onboarding and administrative operations. Leading the client services and operations function over time.

Preferred Background Early-career candidates and recent graduates are encouraged to apply. Helpful areas of study or experience may include: Business administration Psychology Human services Healthcare administration Communications Marketing Public health Organizational leadership Recruiting or HR Customer service Administrative support Social media Experience in disability services, ABA, education, healthcare, or human services is helpful but not required. Requirements High school diploma or equivalent required. Associate's or bachelor's degree preferred, but not required. Strong written and verbal communication skills. Strong organization and follow-through. Comfortable using email, spreadsheets, shared drives, and online platforms. Ability to maintain confidentiality.
