Job Description
AMS Events is hiring an Executive Administrator to serve in a dual-capacity role supporting both AMS Events and CP2 Logistics. This position is the primary on-site operational presence for CP2 — managing day-to-day logistics operations, accounting, HR, and organizational structure — while also providing direct administrative support to the General Manager at AMS Events. The ideal candidate is organized, self-motivated, and comfortable managing people and processes across two fast-moving businesses. About AMS Events LLC AMS Events is a leading event production company based in Carrollton, TX. Description This is a hybrid, salaried position employed by AMS Events. Approximately 75% of the role is dedicated to CP2 Logistics and 25% supports AMS Events. The Executive Administrator will directly manage the CP2 Logistics Manager and serve as the organizational backbone of CP2 — building structure, ensuring compliance, and providing the local in-office presence the business needs. CP2 Logistics Responsibilities (75%) Operations Management Serve as the primary on-site operational presence for CP2 Logistics Directly manage the Logistics Manager, monitoring daily output and holding them accountable to performance standards Learn all aspects of CP2 operations — dispatch workflows, carrier relationships, and load management — and be prepared to step in and run operations independently at any time Coordinate with the remote Logistics Manager via regular Microsoft Teams calls to review active loads, priorities, and operational status Track operational data via the TMS and generate reports for leadership Organizational Structure & Process Development Build and maintain an organized operational framework for CP2 Develop standardized processes, workflows, and SOPs so the business operates consistently Establish and maintain filing systems, shared drives, and record-keeping across operations, accounting, and HR Identify areas of disorganization and proactively bring structure and accountability Accounting & Bookkeeping Manage accounts payable and receivable Process and track invoices, payments, and reconciliations in QuickBooks Support monthly financial reporting and cash flow monitoring Coordinate with external accountants as needed Human Resources Administer employee onboarding, offboarding, and record-keeping Coordinate payroll processing Maintain HR compliance with federal, state, and local regulations Serve as the point of contact for employee HR matters AMS Events Responsibilities (25%) Provide direct administrative assistance to the General Manager Help manage the GM's priorities, action items, and follow-through on outstanding tasks Assist with internal communications, scheduling, and coordination Manage office supplies, vendor relationships, and facility needs Support AMS Events administrative functions as directed Work Schedule Monday / Wednesday / Friday — In Office, 8:00 AM
- 5:00 PM Tuesday / Thursday — Work From Home As a salaried position, this role requires flexibility beyond standard business hours.
Qualifications Required:
- Experience in operations, business administration, logistics, or a related field
- Ability to learn the full scope of logistics operations and lead them independently
- Proficiency in QuickBooks (or demonstrated ability to learn quickly)
- Strong working knowledge of Microsoft Office Suite and Google Workspace
- Exceptional organizational skills with the ability to manage multiple priorities
- Strong written and verbal communication skills
- Self-motivated, adaptable, and comfortable operating without close supervision
Preferred:
- Prior experience in freight, transportation, or logistics
- Experience with a Transportation Management System (TMS) — training available
- Background spanning both logistics operations and administrative or HR functions
- Experience supporting a small-to-mid-size business in a generalist capacity Compensation & Benefits
