Executive Director, Closter Nature CenterRole Overview The Operations Manager (OM) serves as the primary administrator and operational lead for the Closter Nature Center (CNC). This is a part-time position currently structured as a hybrid role , requiring a balance of on-site presence for grounds/building management and remote administrative flexibility. The OM is responsible for the day-to-day management of the center, overseeing public outreach, coordinating diverse programming, managing a robust volunteer network, and leading fundraising initiatives. The OM works closely with the Board of Trustees, staff, and community partners to ensure the fulfillment of the CNC mission and the successful implementation of strategic projects. Key Responsibilities 1. Day-to-Day Administration & Board Governance (The Core) This keeps the center legally and operationally sound, maintaining strict alignment between daily execution and board direction.
Board Leadership & Relations:
Prepare monthly agendas and Operations Reports for the Board of Trustees; lead and facilitate monthly board meetings to drive action items and track progress.
Public & Member Point of Contact:
Serve as the primary administrative contact for the public; manage incoming mail, process cash/check deposits, and sync closely with the Treasurer.
System Ownership:
Act as the lead administrator for the CommunityPass registration system, Google Workspace, and website updates to keep information and registration pipelines seamless. 2. Program Marketing & Digital Outreach Critical for driving the registration volume and community engagement needed to eventually scale this role to full-time.
Marketing Execution:
Manage the regular marketing cycles using Canva to design and distribute flyers, email blasts, and social media content for all seasonal and "one-off" programs.
Digital Accuracy:
Ensure the online calendar, website program descriptions, and registration links are strictly maintained. 3. Facility, Contractor & On-Site Stewardship Ensures the physical assets of the Nature Center are safe, functioning, and presentable.
On-Site Oversight:
Conduct regular grounds and building checks to ensure trail safety, manage supply stocks, and oversee the physical opening/closing of the building.
Contractor Liaison:
Obtain quotes, schedule, and oversee external contractors and maintenance workers for building repairs or specialized environmental work. 4. Targeted Volunteer Coordination Leveraging community labor is essential for a part-time role to successfully scale operations.
Volunteer Onboarding:
Recruit and coordinate adult volunteers, the Greeter Program, and specialized groups (like the Trail Crew) to handle public-facing hours and trail upkeep. 5. High-Value Project & Grant Execution Focused strictly on the highest-return operational fundraising and project delivery activities.
Hike-a-Thon Project Lead:
Act as the logistics and operational lead for the annual Hike-a-Thon, managing committees, the online platform (RallyUp), and event execution.
Grant Administration:
Track current grant deliverables, submit spending reports to existing funders, and work with the board to draft straightforward letters of inquiry (LOIs) for active projects. Internal Note for Search Committee This role requires a "utility player" who is comfortable shifting between administrative tasks (deposits, website updates) and public-facing leadership (leading board meetings, managing volunteers).
