This role is responsible for coordinating logistics for public trainings, managing post-training communications and data, supporting cross-team reconciliation of program impact data, and handling essential office administrative tasks. The ideal candidate is detail-oriented, organized, and comfortable working across multiple systems and teams.

KEY RESPONSIBILITIES
Training Logistics & Systems Administration Set up and manage Blackthorn registration pages for public trainings, ensuring accurate session details, pricing, capacity limits, and registration workflows. Create and distribute Zoom links for virtual trainings, including configuring meeting settings, waiting rooms, and registration integrations as needed. Track and monitor attendance in Blackthorn, ensuring records are accurate and up to date for reporting purposes. Post-Training Communications & Feedback Manage post-training survey distribution, including sending survey links, monitoring response rates, and compiling results for program staff. Draft and send post-training email communications, including thank-you notes, certificates, follow-up resources, and evaluation requests. Data & Impact Reconciliation Support impact reconciliation into Salesforce, gathering and consolidating data submitted by both program and engagement teams to ensure accurate, unified reporting. Maintain data hygiene and flag discrepancies between source data and Salesforce records. Administrative & Office Support Retrieve daily mail and process incoming correspondence. Deposit checks received via mail in accordance with organizational financial procedures. Support the monitoring of the info@ email inbox, reviewing incoming messages and forwarding them to the appropriate staff member or department in a timely manner. Order supplies for public trainings and engagement events Coordinate logistics for public trainings (lease agreements, food and material printing orders, etc.) Additional Duties Provide tech support for virtual trainings Provide general administrative support to the Leadership team as needed. Assist with preparation for board meetings through email notifications to board committee chairs and compiling of information for board agenda and slide decks. Attend cross-team collaboration meetings and bi-weekly staff meetings Qualifications Required 1-3 years of experience in an administrative, operations, or coordinator role. Strong organizational skills with high attention to detail. Experience working within multiple software platforms (Blackthorn, Salesforce, Zoom). Excellent written and verbal communication skills. Ability to manage multiple deadlines and prioritize tasks independently. Preferred Prior experience with Asana or other project management systems Experience with event or training registration systems. Familiarity with survey tools (e.g., SurveyMonkey, Google Forms, Qualtrics). Oakland, California Compensation Compensation & Benefits:
This is a part-time, non-exempt position. Salary for this position is $30 per hour/20 hours per week. Benefits include accrued vacation time, separate accrued sick hours and 11 holidays per year.
