The Executive Operations Manager keeps FLBC's leadership running ahead of the calendar instead of behind it. The role has three centers of gravity: tactical support for the Chief People Officer across recruiting, offers, and HR operations; direct support for the CEO in planning, priorities, and select personal logistics; and the administrative and coordination work that bridges the Executive Leadership Team together. Across all of it, the role uses AI to run email, planning, and cross-functional workflows more efficiently than they have been run before. This is a trusted, high-discretion position that handles confidential people, financial, and personal information every day. The right person is organized to the point of being proactive, writes well, learns tools fast, and enjoys being the person the executive team can count on.
CORE RESPONSIBILITIES
People and Recruiting Support Run the tactical side of recruiting for the
Chief People Officer:
post roles, source and screen candidates, schedule interviews, coordinate with hiring managers, and keep candidates informed at every step. Prepare offer letters, compensation summaries, and newhire paperwork; coordinate background checks, preemployment steps, and onboarding logistics. Maintain the applicant pipeline and hiring reports so the CPO always knows where every open role stands.
Support daytoday HR operations:
employee records, policy updates, benefits enrollment periods, compliance calendars, and internal people communications. Help plan and execute onboarding, recognition, and other people programs. Office of the CEO Own the CEO's calendar and planning rhythm. Look ahead days and weeks, not hours, so conflicts, prep needs, travel, and deadlines are handled before they become urgent. Manage the CEO's inbox with AI support: triage, draft responses, flag what needs the CEO's attention, and close the loop on the rest. Prepare the CEO's daily brief and weekly plan; track commitments, followups, and open decisions. Coordinate travel, expenses, and logistics. Handle select personal and family logistics for the CEO with complete discretion. Executive Leadership Team Coordination Bridge the
Executive Leadership Team:
own agendas, prereads, notes, and actionitem tracking for recurring ELT meetings and offsites, and follow up so decisions turn into action. Provide administrative support to other executives as needed, including scheduling, documents, travel, and expenses. Plan leadership events, retreats, and offsites. Serve as a central point of contact so information moves across the executive team instead of sitting in silos. AI and Operational Efficiency Use AI tools (such as Claude) alongside Microsoft 365 to manage email, summarize threads, draft documents, prepare briefs, and automate recurring workflows. Identify crossfunctional processes that can be streamlined with AI or better systems, pilot them, and roll them out across the executive team. Keep the executive team's tools, templates, and shared documents current and easy to use.
QUALIFICATIONS & EXPERIENCE
Experience supporting senior executives as an executive assistant, executive business partner, chief of staff, or operations coordinator, ideally in a growing company. HR or recruiting coordination experience, including interview scheduling, offers, onboarding, and applicant tracking systems; familiarity with basic employment practices. Demonstrated comfort using AI tools for email, writing, summarizing, and workflow automation, with the curiosity to keep learning them. Exceptional organization, followthrough, and written communication. Discretion and sound judgment with confidential people, financial, and personal information. Proficiency with Microsoft 365 (Outlook, Teams, SharePoint) and calendar and travel tools. Selfdirected and effective working remotely, with the ability to build strong relationships with an executive team you do not sit next to every day. Bachelor's degree preferred; relevant experience matters more.
