This person will manage office staff, company systems, scheduling performance, billing workflow, compliance tracking, customer service, and employee accountability. We need a hands-on leader who follows through, solves problems, and makes sure important responsibilities do not fall through the cracks. Responsibilities Manage and hold office and dispatch staff accountable. Assign responsibilities and follow up on deadlines. Oversee scheduling and daily route performance. Help ensure at least 90% of scheduled routes are completed on time. Monitor Service Fusion for accurate scheduling, job information, and completed service records. Make sure completed jobs are reviewed and sent for billing promptly. Track unbilled jobs, missing paperwork, billing problems, and past-due accounts. Maintain compliance records, permits, registrations, inspections, and renewal deadlines. Ensure service tickets, manifests, photographs, signatures, and disposal documents are complete. Handle escalated customer concerns and make sure problems are resolved. Create and enforce office procedures and checklists. Train employees and address performance concerns. Provide management with regular updates on scheduling, billing, compliance, and staff performance. Identify recurring problems and implement practical solutions. Qualifications Three or more years of office, operations, dispatch, logistics, or field service management experience. Previous experience supervising employees. Strong leadership, organization, and problem-solving skills. Comfortable holding employees accountable. Able to manage several priorities in a fast-paced environment. Strong computer, email, spreadsheet, and recordkeeping skills. Professional communication with customers, drivers, and employees. Dependable attendance and consistent follow-through. Preferred Experience Service Fusion and QuickBooks. Billing and accounts receivable. Wastewater, grease trap, septic, plumbing, environmental services, transportation, or field service operations. Compliance documentation, permits, or inspections. Bilingual English and Spanish. What Success Looks Like The office operates efficiently without constant owner involvement. Employees understand and complete their responsibilities. Routes are scheduled accurately and completed on time. Completed work is billed quickly and correctly. Compliance records are accurate and current. Customer concerns are addressed promptly. Problems are resolved and prevented from repeating. South Texas Wastewater is an equal opportunity employer.
