Job Description

Wills & Associates is looking for an Operations Manager who thinks like a technologist first. This isn't a traditional ops role — it's for someone who gets genuinely excited about rebuilding how a company works from the ground up, using modern tools, automation, and AI agents to eliminate busywork and unlock speed. You'll own our operational backbone: the systems, tools, and workflows that keep the business running. Your mandate is to audit what we have, cut what doesn't work, and rebuild our stack so that repetitive, manual work is handled by automation and AI wherever possible. You'll also be client-facing — this role isn't just behind-the-scenes systems work, it requires someone comfortable representing the firm directly to clients. What You'll Do Audit and modernize our tech stack — evaluate current tools and systems, identify gaps and redundancies, and design a stack that's leaner, more integrated, and built for scale Design and implement AI-driven workflows — deploy AI agents to handle repetitive tasks across operations (scheduling, reporting, data entry, customer follow-ups, internal comms, and more) Own process improvement end-to-end — map current workflows, identify bottlenecks, and re-engineer them with automation-first thinking Evaluate and integrate new tools — stay on top of emerging AI and automation platforms, run pilots, and roll out what actually moves the needle Build internal systems and SOPs — create documentation and training so the rest of the team can use new tools and workflows effectively Partner cross-functionally — work closely with leadership, sales, and customer-facing teams to understand pain points and translate them into technical solutions Measure impact — track time saved, cost reduced, and efficiency gained from every system or workflow change you implement Serve as a client-facing point of contact — communicate directly with clients on operational matters, status updates, and process changes, representing the firm with professionalism and clarity What We're Looking For Proven experience in an operations, business systems, or process improvement role Deep comfort with technology — you're the person people come to when something needs to be automated or fixed Hands-on experience implementing AI tools or AI agents in a business setting (customer support bots, workflow automation, internal copilots, etc.) Strong familiarity with no-code/low-code automation platforms (e.g., Zapier, Make, n8n) and modern SaaS/business tools A builder's mindset — you'd rather build a system than work around a broken one Excellent project management skills and the ability to manage multiple initiatives at once Strong communication skills — you can explain technical changes to non-technical stakeholders and get buy-in Polished, confident communicator with clients — comfortable on calls, in meetings, and in writing, and able to represent the firm well Bias toward action: you test, ship, iterate, and don't wait for a perfect plan Nice to Have Experience with API integrations or basic scripting (Python, JavaScript) Background in a fast-moving startup or scaling company Familiarity with LLM-based tools (Claude, ChatGPT, custom AI agent frameworks) Why This Role Matters You'll have real ownership over how Wills & Associates operates day to day — both the systems behind the scenes and the relationships out front. Pay:
$25.00 - $40.00 per hour Expected hours: 40.0 per week
