Job Description

Location:
Yello Club - Goochland /
Richmond, VA Position:
Club Operations Coordinator Pay:
$17 - $20.00/hour
Work Arrangement:
In-Person On-Site Requirement:
Minimum 6 hours per working day between 1 - 7pm About Yello Club Yello Club is an indoor tennis and racquet-sports facility focused on creating a welcoming, organized, and high-quality experience for players, families, and coaches. We're looking for a hands-on Club Operations Coordinator who will take ownership of the day-to-day functioning of the club and serve as the primary on-site point person for members, parents, coaches, and staff. The Role This is an in-person operational role — not a remote administrative one. The Club Operations Coordinator is expected to be physically present at Yello Club for a minimum of six hours each working day, visible, accessible, and actively engaged with what's happening at the facility: interacting with members, observing programs, supporting staff and coaches, inspecting the facility, and resolving issues as they arise. Some administrative work may be completed outside those hours when appropriate, but the core of this position is being present and taking genuine ownership of the facility and member experience — not managing from a desk. The role may occasionally require flexibility for tournaments, camps, events, evenings, or weekends depending on the club calendar. Key Responsibilities Daily Club Operations Oversee the smooth day-to-day functioning of Yello Club; maintain a visible management presence during operating hours Ensure the facility is clean, organized, safe, and ready for members each day Identify operational or facility issues and coordinate their resolution Make sure opening, closing, and other operational procedures are consistently followed Member & Parent Experience Serve as a primary point of contact for members and families; help create a friendly, professional club environment Respond promptly and professionally to questions, concerns, and feedback Coordinate progress reports from coaches to parents and players on player development and improvement Understand what's happening across programs and proactively address recurring concerns Staff & Coach Coordination Maintain regular communication with coaches and club staff; help coordinate schedules and ensure appropriate coverage Monitor punctuality, professionalism, and adherence to club procedures Communicate important operational information to the team Escalate coaching or program-related matters to ownership or the appropriate coaching lead when necessary Programs & Scheduling Maintain a working understanding of the club's tennis programs, private lessons, court bookings, camps, and events Help ensure courts and programs run according to schedule Coordinate operational requirements for tournaments, camps, and special events Identify scheduling conflicts or operational gaps before they become problems Membership & Business Support Respond to prospective-member inquiries and help families understand Yello's programs Support registrations, memberships, and member retention; follow up appropriately with prospective families Track and report key club performance metrics — enrollment, attendance, retention, and other operational KPIs — to ownership Help with Marketing programs Facility Oversight Conduct regular walkthroughs of the facility; monitor cleanliness, supplies, equipment, and general presentation Coordinate with cleaning, maintenance, and other vendors when required Report maintenance issues promptly and follow through until they are resolved Communication & Administration Maintain clear and timely communication with ownership, including regular updates on operations, staffing, member concerns, and metrics Keep accurate records of operational issues and follow-ups Assist with club communications, scheduling, and administrative tasks Who We're Looking For The ideal candidate is: Responsible, dependable, and highly organized Comfortable taking ownership rather than waiting for instructions Warm and professional with parents, children, and members Confident communicating with coaches and staff Able to manage several priorities simultaneously; detail-oriented and observant Comfortable handling difficult conversations professionally and following a problem through to resolution Comfortable using scheduling, communication, and basic business software Interested in sports, hospitality, recreation, or community-based businesses Previous experience in club management, sports facilities, hospitality, customer service, operations, or people management is strongly preferred. Tennis experience is helpful but not essential — operational judgment, communication, and ownership matter more. What Success Looks Like A successful Club Operations Coordinator makes Yello Club feel organized, welcoming, and well cared for every day. Members know who to approach. Coaches know who to communicate with. Problems are noticed before they escalate. The facility is maintained, programs run on time, and ownership has a reliable person on site who understands what's happening at the club. Most importantly, this position calls for someone who wants to be present and take ownership of the club — not simply complete administrative tasks remotely.
