Job Description

Position Summary Rice Memorial High School is seeking a motivated, detail-oriented, and collaborative professional to join our team as a Business Operations Coordinator . This is an opportunity to play an important role with the school's leadership team. The position offers a broad and meaningful scope of responsibility, including accounting and financial operations, student account management, payroll and human resources, financial aid, food service administration, and general business operations. The ideal candidate will have 2-4 years of experience in accounting, auditing, finance, business administration, or a related field, along with strong organizational skills and exceptional attention to detail. Success in this role requires someone who can prioritize competing responsibilities, exercise sound judgment, work independently, identify opportunities for improvement, and manage assignments from initiation through completion. This is an excellent opportunity for a candidate with an accounting, finance, audit, or business background seeking to expand their skills and make a meaningful impact in a dynamic educational environment. The successful candidate will work collaboratively with faculty, staff, families, vendors, and administrators while contributing directly to the financial stability and day-to-day success of Rice Memorial High School. Accounting and Financial Operations Support Assist the Finance Manager with monthly account reconciliations and the month-end and year-end closing processes. Prepare and post journal entries, including deferred revenue, fixed asset depreciation, payroll, accruals, and other recurring or adjusting entries. Assist with maintaining the general ledger, supporting schedules, fixed asset records, and accurate accounting documentation. Analyze financial information for accuracy, investigate discrepancies, and identify unusual or inconsistent activity for review by the Finance Manager. Assist with the preparation of monthly financial reports and supporting schedules, as well as documentation for an audit, financial review, or other external financial reporting requirements. Support the Finance Manager with financial analysis, special accounting projects, process improvements, and other financial operations as needed. Student Account Management Manage day-to-day student account activities, including tuition billing, payments, credits, adjustments, and refunds. Assist families with questions regarding tuition balances, payment schedules, payment methods, and account activity. Monitor student accounts for accuracy and follow up on outstanding balances and account discrepancies. Prepare and review delinquency reports and assist with collection efforts. Maintain accurate and confidential student financial records and coordinate with Admissions and Advancement departments as needed. Financial Aid Support Assist with the annual financial aid application process and related administrative activities. Maintain accurate and confidential financial aid documentation. Coordinate information for the financial aid committee and provide financial support as needed. Communicate professionally with families regarding financial aid documentation and questions. HR & Payroll Support Maintain accurate payroll information and records and assist with payroll processing and related reporting. Maintain employee benefit records and process benefit changes, enrollments, and updates as necessary. Serve as a liaison between Diocese Human Resources and Rice employees regarding payroll, benefits, and HR-related questions. Assist employees with benefit and payroll inquiries and ensure information is communicated accurately and in a timely manner. Maintain confidential employee records and provide administrative support for HR-related processes and projects. Food Service Administration Serve as a liaison between Food Service Administration and Rice Memorial High School. Administer and maintain documentation related to the Free and Reduced-Price Meal program. Assist with audits, reporting, compliance requirements, and food service contract administration. Monitor and maintain student meal account delinquencies. Additional Responsibilities Provide professional, courteous, and responsive service to students, families, employees, faculty, vendors, and visitors. Participate in school activities and events when called upon. Protect confidential financial, student, and employee information. Maintain organized electronic and physical files. Identify opportunities to improve processes and efficiency within the Business Office. Perform other duties as assigned by the Finance Manager or school administration. The ideal candidate will possess the following qualifications and skills:
Education & Professional Experience :
2-4 years of professional experience in accounting, auditing, finance, business administration, or a related field; a Bachelor's degree in Accounting, Finance, Business Administration, or a related field is preferred.
Accounting & Financial Operations :
Strong understanding of general ledger accounting, journal entries, account reconciliations, accruals, and month-end and year-end closing processes. Experience in public accounting, external or internal audit, or a corporate accounting environment is a plus.
Analytical & Problem-Solving Ability :
Strong analytical skills with the ability to review financial information, identify discrepancies or unusual activity, research issues, exercise sound judgment, and determine appropriate next steps.
Technology & Systems :
Proficiency with Microsoft Excel and financial software, with the ability to work confidently with spreadsheets, financial data, reporting, and accounting systems. Experience with Acumatica and Blackbaud are highly desired.
Business & Financial Administration :
Experience with or knowledge of payroll accounting, employee benefits, student accounts, tuition management, accounts receivable, collections, financial reporting, budgeting, financial aid, or restricted funds is highly desirable.
Communication & Collaboration :
Excellent written, verbal, and interpersonal communication skills, with the ability to establish positive working relationships with employees, faculty, administrators, families, vendors, and outside organizations.
Professionalism, Integrity & Ownership :
Highly organized, detail-oriented, and dependable, with the ability to work independently, prioritize competing responsibilities, manage assignments through completion, maintain strict confidentiality, and know when to seek guidance or collaborate with others.
