Operations Manager - Commercial Real Estate & Business Brokerage The Wynn Group Gig Harbor, WA Job Details Full-time $26 - $30 an hour 20 hours ago Benefits Paid holidays Health insurance Paid time off Qualifications Teamwork Administrative experience High school diploma or GED Attention to detail Office management Time management Full Job Description A Fast-Moving, Transaction-Driven Operations Role The Wynn Group is an established commercial real estate and business brokerage looking for an organized, detail-oriented Operations Manager to help manage the administrative side of our listings, leads, and transactions. This is not a repetitive administrative position where every day follows the same checklist.
Our work is transaction-driven:
priorities change, deadlines move, new information comes in, and every transaction is different. You'll be responsible for keeping multiple transactions and projects moving from start to finish—knowing what has been completed, what is still outstanding, what happens next, and who needs to know. We provide established procedures, checklists, systems, and training. We're looking for someone who can use those tools while thinking independently, adapting to changing circumstances, and taking ownership of follow-through. What You'll Be Responsible For Tracking commercial real estate and business brokerage transactions from opening through closing Managing transaction deadlines, documents, contingencies, and outstanding items Coordinating listing launches and maintaining accurate listing information Managing incoming leads, broker assignments, and follow-up Maintaining accurate CRM, Dropbox, transaction, and company records Coordinating communication with brokers, buyers, sellers, escrow, title, landlords, tenants, and other parties Preparing documents, emails, forms, and administrative materials Monitoring shared inboxes and ensuring outstanding items receive timely follow-up Answering and directing incoming calls and maintaining a professional office Recognizing missing information, inconsistencies, or overdue items and escalating them when necessary You'll Thrive Here If You... Success in this role means:
Active transactions and listings are accurately tracked with clear next steps Deadlines, follow-ups, and outstanding items do not fall through the cracks Brokers have accurate information and administrative support when they need it Leads are entered, assigned, and followed up on accurately and promptly Documents, listings, and communications are reviewed carefully before they are sent or published Clients and transaction partners experience responsive, professional communication Leadership can confidently trust the day-to-day administrative operations of the office Qualifications We're less concerned about finding someone with the perfect industry background and more interested in finding the right person.
The ideal candidate will have:
Strong organizational and time management skills Excellent written and verbal communication skills Ability to prioritize multiple responsibilities throughout the day Strong follow-through and accountability Professional appearance and demeanor Comfort learning and using technology Ability to work independently while collaborating with a team A positive attitude and willingness to learn Experience in commercial real estate, escrow, title, transaction coordination, or office administration is helpful, but not required . In Office Monday-Thursday:
8:00 AM - 4:30
PM Friday:
8:00 AM - 3:00 PM Benefits include: Paid Time Off One week paid vacation after your first year Six paid holidays annually Paid company shutdown between Christmas and New Year's Ongoing professional development and training Health insurance is not currently offered. What system would you use to make sure nothing falls through the cracks? magine you are working on a listing that needs to be published today. While working on it, an escrow company emails you requesting a time-sensitive document, a broker asks you for help with another transaction, and the phone rings with a new buyer lead. Walk us through how you would handle the situation. Tell us about a time you were responsible for a process or project with multiple steps over several days or weeks. How did you track what was completed, what was outstanding, and what needed to happen next? You are following a written checklist and realize information you need is missing or something doesn't match. What would you do before continuing? This is a full-time, in-office position located in Gig Harbor, Monday-Thursday from 8:00 AM-4:30 PM and Friday from 8:00 AM-3:00 PM. Are you able to consistently meet this schedule?
Education:
High school or equivalent (Preferred)
Experience:
administrative, office, coordination , customer serv: 2 years (Preferred)
