Business Operations & Wedding CoordinatorNature's Best Floral & Boutique | Green Bay, WIFull-time | Approximately 32-40 hours per week Nature's Best Floral & Boutique is seeking an organized, motivated, and personable individual to support our daily business operations, wedding and event coordination, customer service, and continued growth. Working closely with the owner and our floral team, you'll help keep information organized, customers informed, deadlines on track, and projects moving forward. This position is ideal for someone who enjoys variety, takes initiative, and follows through without needing step-by-step direction for every task. Key Responsibilities Administrative & Daily Operations Support the owner with daily administrative tasks, scheduling, correspondence, and project follow-up. Keep calendars, customer records, order details, and internal documents accurate and organized. Track deadlines and outstanding tasks, helping ensure important details are completed on time. Communicate priorities and updates with the team. Identify opportunities to improve organization, efficiency, and everyday procedures. Wedding & Event Coordination Respond to inquiries and assist with scheduling consultations and following up with prospective clients. Help prepare and maintain proposals, wedding files, event details, and client communications. Track changes, outstanding information, payment deadlines, and final confirmations. Coordinate information with clients, venues, vendors, and our design team. Help organize event schedules, rental items, setup details, and preparation checklists. Customer Service & Sales Support Provide friendly, professional service in person, over the phone, and by email. Assist customers with floral orders, boutique purchases, and questions about our services. Enter and update orders accurately and communicate special requests to the appropriate team members. Follow up with customers and help address concerns thoughtfully and promptly. Business Development Help build and maintain relationships with local businesses, wedding venues, event planners, and community partners. Follow up on leads and inquiries for weddings, corporate flowers, events, and recurring business. Assist with outreach, promotions, and shop events that introduce new customers to our business. Keep track of potential opportunities and help turn conversations into bookings and ongoing relationships. Inventory & Ordering Support Assist with tracking floral supplies, boutique merchandise, event materials, and rental inventory. Help prepare orders, communicate with vendors, and monitor incoming shipments. Check deliveries for accuracy and follow up on missing or damaged items. Support inventory counts, product organization, restocking, and accurate system records. Help anticipate upcoming needs based on scheduled weddings, events, and seasonal demand. Team & Shop Support Work collaboratively with our designers and shop staff during busy periods. Help maintain clean, organized workspaces and customer-ready retail areas. Pitch in with practical shop tasks and event preparation as needed. Adjust priorities while maintaining accuracy and following through on commitments. What We're Looking For Strong organization, attention to detail, and time-management skills. A dependable self-starter who notices what needs to be done and takes appropriate action. Clear, professional written and verbal communication. A friendly, customer-focused approach and sound judgment. Confidence using email, calendars, spreadsheets, and business software, with a willingness to learn our systems. The ability to manage multiple projects, adapt to changing priorities, and stay composed during busy seasons. Comfort supporting sales, following up on inquiries, and building professional relationships. Experience in administration, retail operations, customer service, sales, inventory, or wedding and event coordination is helpful. Floral industry experience is a plus. Schedule Approximately 32-40 hours per week, primarily Monday through Friday, with rotating Saturdays during our Saturday shopping season.
