Job Description

The Business Manager plays an essential role in supporting the daily operations, financial management and administrative functions of the Marketing & Communications Department. This position works closely with the Chief Marketing Officer and serves as a trusted resource for department staff, campus partners and university offices. The Business Manager oversees multiple financial, budgeting and operating accounts; supports payroll and personnel processes for staff and student workers; assists with travel arrangements and reimbursements; and helps ensure departmental projects, purchases and initiatives move through the appropriate approval processes. As a key point of contact for the department, this position also helps coordinate communication with campus partners, supports project routing and follow-up, and ensures completed work reaches the appropriate individuals. The ideal candidate is highly organized, detail-oriented, service-minded and comfortable managing multiple priorities in a fast-paced, collaborative environment. Essential Duties and Responsibilities Oversees the financial management of budgets across Marketing & Communications units, including maintaining internal budget-tracking systems and monitoring expenditures. Serves as administrative assistant to the Chief Marketing Officer and provides support through signatory proxy authority, scheduling assistance, documentation and related administrative functions. Works closely with the Chief Marketing Officer to review prior-year budgets, prepare new fiscal-year budgets and identify opportunities to support university marketing efforts effectively and efficiently. Collaborates with Procurement, Budget, Accounts Payable and other university offices to support proper budget alignment, purchasing processes, payments, contract bids and negotiations. Assists with financial processes related to internal marketing campaigns, including budget transfers, expense tracking and coordination of funding sources based on departmental needs and approved budgets. Supports billing processes for Printing Services, including invoicing, tracking and posting revenue income, checks, credit card payments, encumbrance payments and deposits for internal and external customers. Processes personnel-related paperwork, including staff and student personnel action requests, stipends and related documentation for staff, students and MURC employees. Provides payroll support for departmental staff and student workers. Coordinates travel arrangements for staff, students and administrators in assigned areas; completes travel reimbursement forms and verifies that all required documentation is included for expense processing. Assists with university promotional item ordering, inventory management and distribution. Provides administrative and logistical support for special events, meetings and departmental initiatives. Assists the Director of Events & Brand Management with administrative coordination related to the Marco mascot program. Serves as a liaison for department staff by helping resolve administrative questions, troubleshooting procedural issues, interpreting departmental policies and elevating urgent or sensitive matters to the Chief Marketing Officer. Helps supervise student workers as needed and provides functional guidance, training and support to student employees performing departmental duties. Participates in training and professional development opportunities to strengthen job performance and maintain awareness of university processes, procedures and best practices. Regularly attends Office Manager budget meetings and shares relevant updates with department leadership and staff as appropriate. Performs other related duties as assigned or directed.
