Our RxOptics division runs prescription and non-prescription safety eyewear programs for employers. Our largest program serves technicians at 1,200+ locations in 39 states, and we've outfitted more than 10,000 technicians through our employer programs since 2017. The job An employee orders prescription safety glasses through our online portal. The order goes to an optical lab, the frame follows it, the finished glasses come back to Phoenix, and we ship them to the employee. Each of those steps is a handoff, and handoffs are where orders get lost. You own every order from submission until it's in the employee's hands. Every order has an owner, every order has a status, every problem has an owner, and every customer knows what's happening with their order.
We already have the tools:
an order desk that tracks the owner, next check date and lab milestones for every order, lab purchase orders in NetSuite, and live FedEx tracking. We need someone to work them every day. What you'll do Check new orders for missing prescriptions, PD measurements and frame details, and get what's missing from the employee before anything goes to the lab. Submit orders to our labs and confirm each one arrived. A shipping label isn't proof. Only confirmation from the lab counts. Track every open order against its expected turnaround, and chase anything running late with the lab, the courier or the employee. Answer employees' questions about their orders, and tell them about delays before they have to ask.
Handle exceptions:
lab holds, lost shipments, wrong or damaged glasses, and prescriptions that don't match. Write down how the process works, find where it breaks, and fix the cause. Trust but verify Here's a real one. A lab tells us it has no record of an order we know we sent. You pull the tracking, prove the handoff and get the job moving the same day. Then you figure out why it happened. Required:
3+ years in order management, operations or customer service, tracking many orders at once through to completion. Clear writing with employees, labs and carriers. Comfortable in NetSuite or a similar ERP, and quick to learn new systems.
Preferred:
Optical lab, optician or Rx eyewear experience. B2B or employer account experience. SOPs you've written that other people actually used.
