Job Description

Order Specialist - Long-term Contract About the Opportunity A consumer products organization is seeking an experienced Order Specialist for a temporary contract opportunity supporting its domestic dealer and customer base. This position will be responsible for processing customer orders, resolving order and inventory issues, and coordinating with internal teams to ensure orders are fulfilled accurately and efficiently. The ideal candidate will have experience in order processing, order entry, customer service, or a similar wholesale or distribution environment. This role requires strong attention to detail, excellent communication skills, sound judgment, and the ability to learn complex products and systems quickly. This is an onsite contract opportunity in Irvine, CA, with the potential for permanent employment based on business needs and performance. Key Responsibilities Enter, review, and process customer sales orders accurately within Acumatica ERP. Review orders for accuracy, product configuration, inventory availability, and customer-specific requirements. Process approximately 15-20 orders per day while maintaining speed and accuracy. Communicate directly with customers and dealers regarding order details, questions, changes, and order status. Identify incomplete or unclear orders and proactively follow up with customers to resolve issues. Coordinate with sales, warehouse, inventory, finance, production, and other internal teams to ensure timely order fulfillment. Monitor order progress and help ensure customer orders are processed and shipped within established timelines. Process routine orders independently and escalate more complex orders or issues when appropriate. Assist with inventory discrepancies, backorders, credits, returns, invoicing, and other order-related activities. Maintain accurate customer, order, and product information within the ERP system. Maintain organized order documentation and support updates to procedures and internal records. Assist with special projects and process improvements within the order management function. Provide backup support to other members of the order-processing team as needed. Requirements High school diploma or equivalent. 5+ years of customer service, order processing, order entry, or related experience preferred. Significant experience entering and processing sales orders. Experience working with an ERP system and the ability to quickly learn new software. Strong attention to detail and ability to accurately process complex orders. Excellent written and verbal communication skills. Strong organizational and time-management skills. Strong problem-solving and decision-making skills. Ability to work independently while knowing when to ask questions or escalate issues. Proactive, resourceful, and comfortable taking ownership of responsibilities. Ability to manage multiple priorities and frequent interruptions in a fast-paced environment. Professional phone and email communication skills. Proficiency with Microsoft Office, particularly Excel, Outlook, and Word. Preferred Experience Experience in wholesale, distribution, manufacturing, or other product-based environments. Experience processing orders involving complex products, configurations, or component requirements. Acumatica experience is highly desirable. Experience with EDI, customer portals, or electronic order processing. Consumer electronics or similar product-industry experience. Experience with made-to-order or custom products. Experience working with inventory, warehouse, shipping, or fulfillment teams. Experience working directly with dealers, distributors, or B2B customers. Work Environment and Schedule Fully onsite in Irvine, CA. Monday-Friday, approximately 7:00 AM-3:30 PM, including a 30-minute lunch.
