Order Entry Representative Job Description The Order Entry Representative supports multiple internal departments by accurately entering and processing customer orders, purchase orders, and related data within ERP and CRM systems. This role plays a key part in coordinating with Sales, Accounting, Shipping, and Production to ensure timely and correct order fulfillment while delivering professional, customer-focused service. Responsibilities Accurately enter customer orders and purchase orders into the ERP system and related databases. Coordinate order details with Sales, Accounting, Shipping, and Production to ensure smooth processing and fulfillment. Review orders for completeness and accuracy, resolving discrepancies and missing information before processing. Support order fulfillment activities by monitoring order status and following up as needed to meet delivery timelines. Collaborate with Shipping to schedule and coordinate shipments based on order requirements and customer expectations. Use CRM and database software to maintain up-to-date customer and order information. Respond to internal and external inquiries regarding order status, changes, and issues in a professional and customer service-oriented manner. Utilize Microsoft Office applications, including Excel, to manage order-related data, reports, and documentation. Maintain accurate inventory and order processing records in alignment with internal procedures. Exercise discretion and independent judgment when handling order issues, prioritizing tasks, and resolving problems. Work effectively in a team environment, supporting colleagues and contributing to shared departmental goals. Adapt to changing processes, systems, and priorities in a fast-paced environment. Demonstrate excellent attendance and punctuality to support consistent order processing and team coverage. Pay close attention to detail to minimize errors and ensure high data integrity across all systems. Essential Skills Minimum of 2+ years of data entry experience in a similar order entry or order processing role. Hands-on experience with database software, preferably MS Navision and MS CRM. Experience working with purchase orders in an ERP system, including coordinating orders with shipping. Strong order entry and order processing skills with proven accuracy and attention to detail. Proficiency with Microsoft Office, including Microsoft Excel, for managing and analyzing order-related data. Customer service-oriented mindset with the ability to handle inquiries and resolve order-related issues professionally. Excellent verbal and written communication skills for interacting with internal departments and customers. Ability to use discretion and independent judgment when prioritizing work and resolving order problems. Ability to work effectively in a team environment and collaborate with Sales, Accounting, Shipping, and Production. Strong focus on attendance and punctuality to maintain reliable coverage and workflow. Ability to adapt and remain flexible in a changing environment. High level of attention to detail and accuracy in data entry and documentation. Additional Skills & Qualifications Experience in a call center or high-volume customer service environment is beneficial. Experience in order fulfillment and inventory-related processes is a plus. Familiarity with food or diagnostic industry operations is advantageous but not required. Demonstrated ability to manage multiple tasks and deadlines in a fast-paced setting. Comfort working with various internal stakeholders to resolve order and shipping issues. Work Environment This role is based in New Castle, DE and supports a highly regarded organization in the food diagnostics sector. The position involves an 8-hour workday, with a flexible start time between 7:00 a.m. and 9:00 a.m. You will work in a collaborative office environment that relies on ERP systems, MS Navision, MS CRM, and Microsoft Office tools, including Excel, to manage orders and customer data. Job Type & Location This is a Contract to Hire position based out of New Castle, DE. Pay and Benefits The pay range for this position is $22.00 - $23.00/hr.
