Job Title:
Order Management Specialist Job Description The Order Management Specialist oversees the full order fulfillment cycle from quote to invoice, ensuring accurate order entry, timely processing, and excellent customer communication. This role collaborates closely with sales, purchasing, and production teams to confirm pricing, clarify customer requirements, and monitor order progress to support on-time delivery and high customer satisfaction. Responsibilities Collaborate with the sales team to confirm pricing and clarify customer requirements before order entry. Perform all phases of the order fulfillment process, including order entry, order confirmation, purchasing buy-to-order materials, creating picklists and jobs, and maintaining accurate customer records. Enter customer orders with a high level of accuracy, ensuring timely processing from initial quote through to final invoice. Monitor and follow up on customer orders to increase the percentage of on-time deliveries and communicate any changes promptly to customers and internal teams. Answer incoming phone calls and emails, qualify inquiries, and route them appropriately while providing helpful and professional assistance. Assist customers with requests regarding order status, stock availability, list pricing, tracking numbers, and other order-related information. Maintain written and electronic records of relevant customer correspondence for future reference and review. Develop and maintain friendly working relationships and positive rapport with customers through clear, respectful, and proactive communication. Monitor the progress of orders against schedules, coordinating with all relevant employees to ensure delivery commitments are met and promptly communicating any updates or issues. Essential Skills Proven experience with order entry and order processing in a business or production environment. Strong data entry skills with a high degree of accuracy and attention to detail. Experience supporting production scheduling or coordinating order timelines. Ability to work within ERP systems or similar order management platforms. Proficiency with Microsoft Office, including Excel and Outlook. Strong verbal and written communication skills for phone and email interactions. Basic math and reading skills to accurately interpret orders, pricing, and documentation. Ability to manage multiple orders and tasks simultaneously while meeting deadlines. Additional Skills & Qualifications High school diploma required; a bachelor's degree in a related field is preferred. Knowledge of ERP systems, including SAP or similar platforms, is a plus. Customer service experience in an office, manufacturing, or distribution environment is beneficial. Experience in a production scheduling or order management role is advantageous. Ability to build strong working relationships with both internal teams and external customers. Strong organizational skills and a proactive, solution-oriented mindset. Work Environment This is a full-time, on-site position with a Monday through Friday schedule, typically from 8:00 a.m. to 5:00 p.m. You will work in an office environment within a family-owned company that values a tight-knit, collaborative culture. Daily work involves using computers, ERP systems, and Microsoft Office tools to manage orders and communicate with customers and internal teams. Job Type & Location This is a Contract to Hire position based out of Wentzville, MO. Pay and Benefits The pay range for this position is $20.00 - $22.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
