Job Title:
Order Support Customer Service RepresentativeJob Description This contract role provides front-line support to customers by handling a high volume of inbound calls and emails, performing basic order entry, and assisting with reporting and administrative tasks. You will play a key role in supporting a major digital transformation, including the migration from Microsoft AX to D365, while working closely with a collaborative team and a dedicated mentor in a fast-paced, office-based environment. Responsibilities + Answer a high volume of inbound phone calls, typically around one minute per call, and route customers to the appropriate internal resources. + Serve as the first point of contact for customer inquiries, ensuring professional, courteous, and timely call handling. + Provide approximately 80% phone and email support, responding to customer questions and concerns with a customer service-oriented approach. + Perform approximately 20% basic order entry and administrative support, including entering customer orders accurately into the system. + Use Microsoft AX and Microsoft 365 to enter, update, and collect data related to customer orders. + Compile, create, and modify reports using database software and Microsoft Office applications such as Excel and Outlook. + Administer various programs, projects, and processes according to department requirements, acting as a resource for the team. + Maintain confidentiality of sensitive information and materials at all times. + Achieve and maintain established quality, productivity, and accuracy standards for data entry and customer interactions. + Support the Order Support team during the migration from Microsoft AX to D365 and related system transitions. + Follow established processes and procedures while adapting to new tools, workflows, and systems introduced through the digital transformation. + Work in multiple systems simultaneously, maintaining strong attention to detail and accuracy. + Escalate complex or unresolved issues appropriately to Order Support level 2 or leadership when necessary. + Communicate clearly and professionally in both written and verbal formats with customers, internal teams, and leadership. + Collaborate with a dedicated mentor and the Order Support leadership team to ensure a smooth onboarding and effective performance during the system go-live period. Essential Skills + At least 1 year of experience using Microsoft applications in an office or administrative setting. + At least 1 year of customer service or administrative experience with a confident and professional phone presence. + Proficiency with general office routines and clerical procedures. + Demonstrated keyboarding speed and accuracy, with the ability to proofread and correct errors effectively. + Basic data entry skills with a high level of accuracy and attention to detail. + General math skills and the ability to create electronic spreadsheets and basic database reports. + Ability to maintain confidentiality of information and materials. + Strong written and verbal communication skills, using clear and effective communication methods. + Comfort working in an in-office, team-based environment. + Ability to learn new systems, tools, and processes quickly. + Customer service-oriented mindset with the ability to handle a high volume of calls and emails professionally. Additional Skills & Qualifications + Experience supporting order management or customer service teams. + Exposure to ERP, CRM, or order management systems. + Experience working during system implementations, transitions, or digital transformation initiatives. + Familiarity with Microsoft Dynamics, OrderNet, or similar platforms (preferred but not required). + Experience with Microsoft Office applications, including Outlook and Excel, for communication, data entry, and reporting. + Ability to compile, create, and modify reports using database software and Microsoft Office tools. + Strong organizational skills and the ability to manage multiple tasks in a fast-paced environment. + Interest in developing transferable skills in customer service, order processing, and enterprise systems. + Ability to work effectively with a mentor and leadership team to support a high-impact system go-live. Work Environment This is a 6-12 month contract position, with the potential to extend for a strong performer. The typical work schedule is 8:30 a.m. to 5:00 p.m., with some case-by-case flexibility. The role is based in an in-office, team-oriented environment with shared supervision and close collaboration with internal teams and leadership. You will work primarily on computers and phones, using tools such as Microsoft AX, Microsoft 365, and other order management and reporting systems. The setting is fast-paced, particularly leading up to and following the system go-live, and offers structured training, hands-on support, and a dedicated mentor to guide your onboarding and ongoing development. Job Type & Location This is a Contract position based out of Newberg, OR. Pay and Benefits The pay range for this position is $24.00 - $24.60/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
