Our collaborative, all-women team works across architecture, interior design, procurement, and construction. We believe great design should be beautiful, functional, and improve the way our clients live. We guide every project with creativity, organization, and exceptional care—from the first idea through completion. We are looking for an organized, proactive, and technology-driven Studio Administrator & Procurement Manager to become an essential part of our team. This position will begin at approximately 20 hours per week , with the opportunity to grow to 30-40 hours. The ideal candidate is detail-oriented, dependable, excellent at follow-through, and excited to use AI, automation, and technology to make our work more efficient. What You'll DoInvoicing and Administration Prepare invoices and maintain client payment schedules. Manage money in and money out and reconcile accounts. Track payments and follow up on outstanding balances. Maintain accurate client, vendor, project, and financial records. Set up new clients, projects, folders, billing schedules, and vendor accounts. Manage inquiries, onboarding, office organization, and administrative project closeout. Help provide a warm, organized, and responsive client experience. Procurement Manage procurement from client approval through delivery and installation. Prepare proposals, invoices, payment requests, and approval documentation. Enter products, pricing, specifications, and vendor information. Place orders and verify all order details. Track lead times, backorders, shipping, receiving, and deliveries. Communicate with clients, vendors, receivers, installers, and the design team. Coordinate deliveries and furniture installations. Manage damages, claims, replacements, cancellations, and returns. Procurement and financial administration will be managed through Studio Designer, DesignFiles, and/or other programs adopted by the firm . AI, Technology, and Growth Use AI and automation to improve invoicing, procurement, onboarding, and administrative processes. Identify repetitive tasks that can be simplified or automated. Learn and implement new systems as the firm evolves. As needed, assist with project-health, hours, and profitability reporting. Qualifications Exceptionally organized, accurate, and detail-oriented. Proactive, dependable, and committed to follow-through. Strong communication and problem-solving skills. Comfortable with invoicing, reconciliations, purchase orders, and financial records. Able to manage multiple projects and priorities. Professional, warm, and service-oriented. Interested in AI, automation, technology, and learning new systems. "Studio Designer" and / or "Design Files" experience is highly preferred. Experience in procurement, interior design, architecture, construction, or professional services is preferred.
