Purchasing Manager for Wholesale HVAC Purchasing Manager Position Summary We are seeking an experienced, organized, and analytical Purchasing Manager to oversee purchasing, inventory planning, vendor relationships, product maintenance, and related warehouse coordination. This position plays an important role in ensuring we have the right products, from the right vendors, at the right cost, and in the right quantities to meet customer demand while maintaining appropriate inventory levels. The Purchasing Manager will be responsible for day-to-day purchasing activities as well as helping make broader decisions regarding what products we carry, how much inventory we maintain, and which vendors we partner with. The ideal candidate is comfortable working with purchasing and inventory systems, analyzing sales and inventory information, maintaining accurate product and pricing data, and working closely with sales, operations, and warehouse personnel. Key Responsibilities Purchasing & Inventory Management Manage day-to-day purchasing and order entry for assigned vendors and product categories. Review system-generated recommended orders and determine appropriate quantities to purchase. Establish and maintain appropriate reorder points, minimum/maximum quantities, stocking levels, and purchasing quantities . Monitor inventory levels, sales activity, lead times, seasonality, and other factors when determining purchasing needs. Identify potential stockouts and take proactive steps to maintain product availability. Identify slow-moving, excess, and obsolete inventory and recommend appropriate actions. Balance product availability with the company's goals for inventory investment and warehouse capacity. Follow up on purchase orders, backorders, shortages, substitutions, and other vendor-related issues. Product & Item Management Create and maintain item records within the company's inventory/order management system. Maintain accurate product descriptions, costs, vendor information, units of measure, pack quantities, and other item information. Add new products and discontinue or deactivate obsolete products as appropriate. Maintain price sheets and ensure pricing information is accurate and current. Coordinate vendor cost changes and update internal pricing information as necessary. Help maintain clean, consistent, and reliable product and purchasing data. Vendor Management Develop and maintain strong relationships with existing suppliers. Evaluate and select vendors based on pricing, product quality, availability, service, lead times, freight considerations, and reliability. Request and evaluate vendor quotes and pricing. Negotiate pricing, purchasing terms, freight arrangements, minimum orders, and other purchasing considerations when appropriate. Identify alternative suppliers and sourcing opportunities. Address vendor performance issues, shortages, damaged products, incorrect shipments, and other purchasing-related concerns. Product Assortment & Inventory Planning Participate in decisions regarding which products and product lines the company should carry . Evaluate new products and vendors based on customer demand, sales potential, margins, availability, and inventory requirements. Recommend additions and removals from the company's product assortment. Determine appropriate stocking levels for new and existing products. Work with sales and management to understand changing customer needs and product demand. Review historical sales and purchasing trends to improve inventory planning and purchasing decisions. Warehouse & Operations Coordination Work closely with warehouse personnel to ensure purchased products are received, stored, and organized effectively. Assist with warehouse organization and product-location decisions. Help identify opportunities to improve inventory flow, storage efficiency, and warehouse utilization. Assist in resolving receiving discrepancies, inventory discrepancies, and product identification issues. Participate in physical inventory counts and inventory accuracy initiatives as needed. Coordinate with warehouse, sales, and management personnel regarding product availability and purchasing issues. Qualifications Previous experience in purchasing, procurement, inventory management, distribution, wholesale operations, or a related field preferred. Strong understanding of inventory management and replenishment principles. Experience working with purchasing, ERP, inventory management, or order-entry systems. Strong computer skills, including proficiency with spreadsheets and the ability to learn company-specific software. Strong analytical and problem-solving abilities. Excellent organizational skills and attention to detail. Ability to manage multiple vendors, product lines, and priorities simultaneously. Strong communication and vendor relationship skills. Comfortable making purchasing decisions based on sales history, inventory levels, lead times, costs, and anticipated demand. Ability to work collaboratively with sales, warehouse, operations, and management personnel. Characteristics of a Successful Candidate The successful Purchasing Manager will be someone who: Takes ownership of inventory and purchasing decisions. Is highly organized and detail-oriented. Understands that purchasing involves more than simply placing orders. Can recognize when computerized reorder recommendations need to be adjusted based on real-world conditions. Thinks proactively about upcoming inventory requirements rather than reacting to shortages. Pays close attention to costs, margins, lead times, and inventory turns. Develops productive relationships with vendors while protecting the company's interests. Understands the operational impact of purchasing decisions on both the warehouse and the sales team. Is willing to dig into product and inventory data to identify problems and opportunities. Can balance the competing goals of strong product availability and responsible inventory investment. Primary Measures of Success Performance in this position will be evaluated based on areas including: Product availability and reduction of avoidable stockouts. Appropriate inventory levels and inventory turns. Reduction of excess and obsolete inventory. Purchasing accuracy and timely order placement. Accuracy of item, cost, vendor, and pricing information. Vendor pricing, service, and reliability. Effectiveness of product assortment and stocking decisions. Inventory and warehouse organization. Communication and coordination with sales, warehouse, and management teams. Position Objective The overall objective of the Purchasing Manager is to ensure that the company maintains an effective, profitable, and well-managed inventory—providing customers with the products they need while controlling purchasing costs, inventory investment, and warehouse space.
Pay:
$20.00 - $30.00 per hour Expected hours: 40.0 per week
