Every one of them is a real customer order with a real build date, and almost none of them use the same parts list. Your job is to make sure that when a build is scheduled, the parts are already here. That sounds simple. It isn't, because the parts we buy are specialty aftermarket components from vendors whose quoted lead times are not always the lead times you get. The core of this role is staying far enough ahead of the build schedule that a vendor's slipped delivery becomes a problem you already solved, not a build bay sitting idle. This is roughly a 60/40 job: desk and floor. You'll spend most of your time on purchasing, vendor communication, and reporting. You'll also be out in the shop several times a day, because you cannot manage inventory accurately from a chair. We are splitting this work out of two previous roles. That means part of your first year is building the standards that don't fully exist yet, bin locations, labeling conventions, reorder points, a real cycle count cadence. If you want to inherit a mature system and maintain it, this is not that job. If you want to build one and own it, it is. What You'll Be Responsible For Purchasing and order processing. Convert build requirements into purchase orders using build schedules, reorder points, and current stock.

Own the timing decision:

what gets ordered when, and what gets expedited. Vendor management. Manage the vendor base directly. Negotiate pricing, terms, and freight. Track open orders and push when dates slip. Resolve shortages, damages, and incorrect shipments. Handle vendor returns and warranty claims through to credit. Vendor performance. Evaluate vendors on lead time, quality, pricing, and reliability. Recommend source changes when a vendor stops earning the business. Inventory accuracy. Own the cycle count program and quarterly audits. Investigate discrepancies rather than adjusting them away. The physical shelf and the system should agree. Reporting. Maintain inventory records in QuickBooks and produce recurring reporting on inventory accuracy, turnover, stockouts, shrinkage, aged and obsolete stock, and vendor lead time variance. Production coordination. Work directly with the Engine Shop Production Manager against the build schedule. Flag material risk to the schedule early, while it's still a phone call, not a delay. Supervision. Direct the Inventory & Receiving Associate. Set the cycle count cadence, put-away and labeling standards, and consumables replenishment expectations, then hold to them. Systems and standards. Build and maintain bin/location and labeling systems. Establish and enforce written procedures for receiving, issuing, and returning inventory. What Success Looks Like In 90 days, you know our vendor base, our fastest-moving parts, and where the current records are wrong. You've completed a full physical baseline and can state our actual inventory accuracy percentage. In six months, builds are not waiting on parts you could have anticipated. Cycle counts run on a schedule without reminders. You've renegotiated or replaced at least one underperforming vendor. In a year, the Production Manager stops asking whether parts will be there, because they have been. Aged and obsolete stock is identified and worked down rather than quietly accumulating. Standard procedures exist in writing and the associate follows them because they're clear, not because you're standing there. What Makes This Job Hard QuickBooks is the system of record, not an ERP. Some reporting requires real Excel work. If you are used to a system that generates the analysis for you, expect to build parts of it yourself. Low-volume, high-specificity parts. You are not reordering the same fifty SKUs. Many purchases are build-specific, which makes forecasting harder and makes vendor relationships more valuable. Both environments, every day. Office work and an active, non-air-conditioned shop floor. Steel-toe environment, engine noise, dust. You are the accountable party. When a part is missing, this role owns it. There is no procurement department behind you. What You Need 3-5 years of inventory management and/or purchasing experience, automotive, motorsports, manufacturing, or industrial distribution. Hands-on purchase order ownership and direct vendor negotiation experience. Not requesting quotes, negotiating terms. Proficiency in QuickBooks or a comparable inventory/ERP system, plus solid Excel skills (pivot tables, lookups). Working knowledge of automotive and engine parts terminology. You should be able to read a build sheet and know what you're looking at. Comfort moving between an office and an active shop floor.

Preferred:

Supervisory experience. Performance, motorsports, or engine-build environment background. Cycle count program ownership. Before You Apply Apply if you like being the person who knows where every part is and when it's arriving, and you're willing to be assertive with a vendor who missed a date. This role requires telling a supplier their performance isn't acceptable, and telling a Production Manager that a build date is at risk, early, before it's obvious. Don't apply if you want a purely analytical purchasing role, or if you'd rather escalate a vendor problem than solve it. Physical Requirements Regularly moves throughout an active engine shop. Occasional lifting up to 50 lbs. Standing, walking, bending, and climbing as needed. Shop floor is not air conditioned. Compensation $62,000-$78,000 annually, depending on experience.
