Administrative Associate III - Supplier Onboarding Support (Ivalua)

Normal Business Hours - Monday to friday About the Role We are seeking a detail-oriented and customer-focused Administrative Associate III to support supplier onboarding activities through the Ivalua Supplier Relationship Management (SRM) platform. In this role, you will help ensure the smooth and timely onboarding of new and existing suppliers by coordinating documentation, resolving onboarding challenges, maintaining accurate records, and partnering with internal and external stakeholders. The ideal candidate is proactive, organized, and skilled at managing multiple priorities while delivering an exceptional supplier experience. ResponsibilitiesSupplier Onboarding & Coordination Manage supplier onboarding activities within the Ivalua platform. Engage with suppliers through system-based communications to provide onboarding guidance and clarify requirements. Ensure supplier documentation, compliance records, and registration information are completed accurately and on time. Support suppliers throughout the onboarding lifecycle to minimize delays and improve completion rates. Issue Resolution & Process Support Serve as the first point of contact for suppliers experiencing onboarding-related issues. Investigate and resolve data entry discrepancies, documentation concerns, and workflow challenges. Collaborate with internal stakeholders to address system or process bottlenecks impacting onboarding progress. Escalate unresolved issues to appropriate teams when necessary. Stakeholder Management Partner with procurement teams, buyers, data governance teams, and suppliers to facilitate onboarding activities. Maintain clear and timely communication regarding onboarding status, requirements, and expected timelines. Follow up with non-responsive suppliers and coordinate with internal stakeholders to ensure progress toward completion. Workflow & Escalation Management Monitor onboarding workflows and identify approval delays or process blockers. Escalate outstanding approvals and onboarding issues to appropriate stakeholders to ensure timely resolution. Track onboarding progress and ensure all required steps are completed according to established procedures. Reporting & Data Management Maintain accurate onboarding records and supplier data. Update dashboards, trackers, and reports to provide visibility into onboarding status, throughput, and key performance metrics. Support continuous improvement initiatives by identifying trends, risks, and opportunities for process enhancement. Additional Responsibilities Build effective working relationships across cross-functional teams. Maintain a high level of professionalism, customer service, and attention to detail. Perform other administrative and operational duties as assigned. Minimum Qualifications High School Diploma, GED, or equivalent. 2+ years of experience in administrative support, supplier onboarding, procurement operations, supply chain administration, customer support, or a related field. Bachelor's degree may substitute for relevant experience where applicable. Strong written and verbal communication skills. Proficiency in Microsoft Office applications, including Excel, Word, and Outlook. Strong organizational skills and attention to detail. Ability to manage multiple priorities in a fast-paced environment. Preferred Qualifications Experience supporting supplier onboarding, procurement, supply chain operations, or vendor management activities. Familiarity with Ivalua or other Supplier Relationship Management (SRM), procurement, or ERP platforms. Experience troubleshooting workflow, system, or process-related issues. Ability to work effectively with internal stakeholders and external business partners. Strong analytical, problem-solving, and customer service skills. Experience maintaining reports, dashboards, and operational metrics.
