Job Title:
Event Logistics & Procurement Manager Organization:
Meals of Hope, Inc.Location:
Naples, Florida (hybrid — in office Monday-Thursday) Reports to:Vice President of Operations Classification:
Full-Time, Exempt Position Overview:
The Event Logistics & Procurement Manager owns the end-to-end logistics behind Meals of Hope's national meal packing program — booking and managing approximately 300 meal packing events each year — while also leading local food sourcing and purchasing for our meal packing and pantry operations. This role sits at the intersection of customer service, transportation logistics, and supply chain, and directly determines whether every event, pantry, and partner receives what they need, when they need it. Because meal packing events run seven days a week, this position requires flexibility, ownership, and a white-glove service mindset. The ideal candidate is a highly organized problem-solver who stays calm under pressure, communicates clearly with customers and carriers, and treats every event host, vendor, and neighbor with respect, compassion, and dignity.About Meals of Hope:
Meals of Hope is a nonprofit organization dedicated to fighting hunger and food insecurity across the United States. Based in Naples, Florida, we provide nutritious meals through innovative food packaging programs and community-based distribution. Our mission is made possible through the work of passionate staff, volunteers, and donors committed to making a tangible difference.Key Responsibilities:
Meal Packing Event Logistics (~300 events per year) Book, schedule, and manage logistics for approximately 300 meal packing events annually across the country. Serve as the primary point of contact for event customers — calling to confirm details, coordinate delivery and pick-up windows, and set clear expectations from booking through event completion. Manage and grow a broker network of trucks and carriers to ensure reliable, cost-effective freight coverage for every event. Utilize logistics and transportation management software to schedule shipments, track loads, and maintain accurate event records. Troubleshoot and problem-solve in real time — delayed trucks, dock issues, missing equipment, or last-minute changes — to keep every event on schedule.Deliver white-glove customer service:
proactive communication, rapid follow-up, and a seamless experience that reflects the Meals of Hope brand. Provide on-call support as needed; events run seven days a week, and this role requires availability on nights and weekends. Track logistics costs and carrier performance, and recommend improvements to routing, scheduling, and vendor selection. Local Sourcing & Vendor Development (Florida) Build and maintain relationships with Florida food banks, growers, distributors, food manufacturers, retailers, and wholesalers to increase food supply for pantry operations. Source and secure donated and low-cost product across key categories, including baby food, bulk produce, canned goods, frozen items, and protein. Identify new sourcing opportunities and negotiate pricing, terms, and delivery arrangements that maximize the value of every dollar. Coordinate inbound donations and purchases with warehouse and pantry teams to align supply with distribution needs and storage capacity. Represent Meals of Hope professionally in the community as the face of our sourcing and vendor partnerships. Purchasing & Procurement Purchase ingredients and packaging supplies for meal packing operations, ensuring uninterrupted supply for the event calendar. Purchase food and operating supplies for pantry operations across all sites. Manage purchase orders, vendor invoices, and receiving documentation with accuracy and accountability. Monitor inventory levels, lead times, and pricing trends; plan purchases ahead of demand to avoid shortages and rush costs. Evaluate vendor performance and pursue competitive bids to control costs without sacrificing quality.Schedule & Travel:
Hybrid schedule with required in-office days Monday and Thursday at the Meals of Hope Naples office. Travel to our Dayton, Ohio facility as needed throughout the year. Events operate seven days a week; nights, weekends, and on-call availability are required as event schedules demand.Qualifications:
3-5+ years of experience in logistics, transportation, procurement, supply chain, event operations, or a related field. Experience managing freight brokers, carriers, or a transportation network strongly preferred. Proficiency with logistics/transportation management software and Microsoft Office; comfortable learning new systems quickly. Exceptional customer service and communication skills — professional, responsive, and solution-oriented by phone and email. Strong organizational skills with the ability to manage a high volume of concurrent events and deadlines. Demonstrated negotiation skills and experience building vendor or supplier relationships. Self-starter who works well independently, exercises sound judgment and takes ownership of outcomes. Valid driver's license and ability to travel as described above. Passion for the mission of fighting hunger and serving the community.Physical Requirements:
Prolonged periods working at a desk and on the phone/computer. Ability to occasionally lift up to 40 pounds and assist in a warehouse or event environment as needed.Compensation & Benefits:
Competitive salary, commensurate with experience. Health insurance. 401(k) retirement plan. Paid time off (PTO) and paid holidays. The opportunity to make a meaningful, measurable impact in the fight against hunger. Meals of Hope is an Equal Opportunity Employer.
