THE OPPORTUNITY
This is a rare opportunity to join a growing studio at an exciting inflection point. Our project portfolio has grown significantly, and we're looking for an experienced Procurement & FF&E Manager to help build the operational backbone of our design practice. This isn't simply an opportunity to manage orders; it's an opportunity to help create a procurement platform that supports exceptional design. We're looking for someone who is energized by bringing order to complexity, enjoys building systems and processes, and thrives on ensuring every detail is thoughtfully executed. Working alongside the Founder and Design Director, you'll play a critical role in bringing projects to life by managing the procurement, logistics, vendor coordination, and execution behind every furnishing, finish, and custom piece across multiple projects. Your work will directly influence the client experience, project success, and continued growth of the studio. This role is ideal for someone who loves organization, enjoys solving logistical challenges, and takes pride in executing projects with precision and care.
RESPONSIBILITIES
Procurement and FF&E Management:
Help evaluate, build, and implement a scalable procurement system from the ground up, including developing workflows, documentation, tracking tools, and team standards. Lead all FF&E procurement from specification through final installation. Prepare purchase orders and manage vendor communications. Verify pricing, finishes, quantities, dimensions, lead times, and approvals prior to ordering. Track orders, production schedules, lead times, and deliveries. Maintain comprehensive FF&E specifications and procurement documentation. Coordinate custom furniture, lighting, millwork, and bespoke fabrication. Review shop drawings, finish samples, and prototypes in coordination with the design team. Resolve shipping, manufacturing, quality, and order issues proactively while ensuring design intent is maintained throughout procurement.
Vendor & Logistics Management:
Cultivate strong relationships with manufacturers, artisans, vendors, workrooms, fabricators, freight partners, and receiving warehouses. Solicit quotations and negotiate pricing where appropriate. Coordinate freight, warehousing, receiving, inspections, and white-glove delivery. Continuously expand and strengthen the studio's vendor and logistics network. Maintain organized vendor records, pricing, and resource libraries.
Project & Financial Coordination:
Work closely with the Design Director to coordinate project schedules, milestones, and procurement timelines. Participate in project meetings and provide clear procurement updates. Track deposits, balances, invoices, and payment schedules. Reconcile vendor invoices with purchase orders and coordinate with accounting regarding vendor payments. Monitor FF&E and procurement budgets and report variances. Identify potential schedule, budget, production, or logistics risks and communicate impacts before they become issues. Ensure procurement activities remain aligned with project milestones and installation schedules.
Installation Coordination:
Coordinate receiving warehouses, delivery partners, and installation teams. Develop and manage delivery and installation schedules. Oversee installation logistics and troubleshoot issues in the field. Manage procurement-related punch lists and outstanding items through project closeout. Coordinate final styling items and installation needs with the design team.
Studio Operations:
Develop and maintain procurement standards, templates, and workflows. Maintain specification libraries and procurement databases. Continuously improve studio systems and operational efficiencies. Support the development of scalable procurement processes as the firm grows.

IDEAL BACKGROUND
5-7+ years of procurement, FF&E, or project management experience within a luxury interior design, architecture, hospitality, or related firm. Extensive experience managing FF&E procurement from specification through installation. Strong understanding of furniture manufacturing, custom fabrication, logistics, freight, receiving, and installation. Experience managing project budgets, purchase orders, invoices, deposits, balances, and vendor payments. Demonstrated success managing multiple large-scale projects simultaneously. Exceptional organizational skills with meticulous attention to detail. Experience developing procurement systems and improving operational processes. Excellent communication and relationship management skills. Strong negotiation and vendor management abilities. Comfortable working independently with minimal supervision while collaborating closely with design and project teams. Highly proficient in Excel, procurement tracking systems, Studio Designer or similar platforms, Microsoft Office, and project management software. Strong industry relationships and a demonstrated ability to cultivate trusted relationships with manufacturers, artisans, freight partners, receiving warehouses, and installation teams. An appreciation for antiques, vintage furnishings, artisan craftsmanship, and collected interiors. Based in, or with significant professional experience in, a major U.S. design market. Willingness and ability to travel domestically and internationally for project installations, site visits, and other project needs.
Preferred :
Experience managing international procurement, freight, customs, and vendor coordination for projects in remote or logistically complex environments.
