Job Description

Project Manager Position Overview The Project Manager is responsible for managing a large volume of concurrent FF&E (Furniture, Fixtures & Equipment) projects from project award through procurement, delivery, installation, and closeout. This role serves as the primary point of contact between the client and internal RWA teams, ensuring projects remain organized, on schedule, within scope, and properly documented. The Project Manager works closely with clients, designers, buyers, warehouse and logistics teams, installers, vendors, and internal administrative staff to coordinate all aspects of a project. This position requires exceptional organization, attention to detail, communication skills, and the ability to prioritize and manage multiple projects with competing deadlines. Key Responsibilities Project Management & Administration Direct a high volume of concurrent FF&E projects from initial award through final completion. Maintain meticulous project records, schedules, and documentation within management software. Track scope, deliverables, and timelines while proactively resolving potential schedule delays. Document all project changes and ensure timely follow-up on outstanding approvals or action items. Client Communication & Coordination Act as the primary daily liaison between the client and RWA internal teams. Lead direct client communications regarding status, timelines, installations, and product issues. Synchronize workflows among designers, buyers, vendors, logistics, and site installation teams. Provide timely updates on availability and escalate critical issues with practical solutions. Procurement & Project Coordination Manage RFQs, pricing requests, project approvals, and purchase order tracking. Audit orders for accuracy against project requirements and monitor vendor lead times. Identify and resolve procurement bottlenecks, product substitutions, or availability risks. Assist with project invoicing and coordinate essential financial data with the accounting team. Installation Management Orchestrate complex installation schedules across various project locations and stakeholders. Verify site readiness, access constraints, and field measurements to ensure successful delivery. Communicate precise field expectations to site contacts and professional installation crews. Manage post-installation punch-lists, including replacements for damaged or missing products. Warehouse & Logistics Coordination Partner with warehouse teams to monitor receipt, tracking, and preparation of all project assets. Verify shipment load lists to confirm accurate product quantities for every scheduled installation. Assist with logistics planning and the completion of formal shipping requests. Identify product shortages or damages early to minimize impact on project timelines. Project Tracking & Problem Solving Maintain a comprehensive mastery of project specifications, finishes, and technical requirements. Continuously monitor project risks and develop strategic contingency plans for delays. Execute solutions such as inventory transfers or product substitutions to meet deadlines. Provide persistent follow-up on open issues and ensure documentation reflects current status. Qualifications & Skills A 4 year degree from an accredited university in Business Management with emphasis in Project Management is preferred. Previous experience with Design Smart, Xcel, and Quickbooks Previous project management, project coordination, FF&E, furniture procurement, construction, interiors, or related experience preferred. Exceptional attention to detail and strong organizational skills. Ability to manage a high volume of projects simultaneously while maintaining accuracy. Strong ability to prioritize tasks based on project deadlines and urgency. Excellent written and verbal communication skills. Comfortable communicating directly with clients as well as coordinating with internal teams, vendors, warehouse personnel, installers, and other stakeholders. Identify problems early and proactively find solutions. Ability to remain organized and composed in a fast-paced environment with frequent changes and competing priorities. Strong sense of ownership and accountability for projects from start to finish. Pay:
$95,000.00 - $125,000.00 per year
