Job Description
Under general supervision, performs a variety of reception and/or secretarial work as assigned and/or required by specific program(s). Make decisions in consultation with supervisor and provide program services as authorized and in compliance with specific programmatic rules and procedures. Promotes and provides a supportive environment to meet the needs of a diverse client base.
Hours:
8:00 am - 4:00 pm Monday -Friday:
Full-time 35 hours per week. Some evenings/weekends, as needed Starting hourlyPay:
$19.36Education and Experience:
High school Diploma and at least two years of office work experience; OR A two-year associate degree with emphasis on office administration plus one year of office work experience; OR A combination of education and experience equivalent to the above.Duties and Responsibilities:
1. Performs reception duties and support services to division staff (answering phones, directing calls, faxing, printing, filing, preparing documents, maintaining appointment schedules, updating calendars) 2. Greet and assist clients and visitors. 3. Maintain division database(s). (ICARE, IWIC, CDP, Medi) 4. Work with division director to update program guidelines; keeps division director informed of upcoming program requirements. 5. Coordinate logistics for program meetings and events, prepares required meeting minutes. 6. Work with the division director to order office and grant supplies. 7. Remain up to date on agency programs and activities. Work with other agency staff to support activities, programs, and projects. 8. Provide first line IT support for division staff relating to phones, computers, printer/copier/fax equipment, etc. 9. Serve as back-up for agency receptionist(s) when needed across all departments. 10. Handle conflict and confrontation in a firm and professional manner. 11. Interact with and respect diverse populations and cultures affectively and professionally. 12. Participates in emergency preparedness and response activities for both exercises and responses. 13. Assume responsibility for personal growth and development. 14. Adhere to HIPAA privacy regulations and OSHA safety standards. 15.
