Job Description

Position Summary :
Under the supervision of the Department on Aging Director, the Program Coordinator is involved with assisting in the planning and directing of the activities of the Department on Aging program. The work involves Program Management for all grant-funded programs administered by the Department on Aging, and clerical and communications work for the department. The Program Coordinator assumes the duties and responsibilities of the Director in his/her absence. Work is performed under the general supervision of the Director, but the Program Coordinator is free to develop own work sequences within established policies and procedures. This position is included in the KDOT drug/alcohol testing program. Examples of Work (Essential Functions) : Assists the Director as needed and performs work as deemed necessary or required; Maintains records and files pertaining to all programs under this position's jurisdiction; Coordinates and markets all programs for in-home services on a regular basis; coordinates large scale events for promotion such as Senior Fair, Spring Fling, oversees newsletter, social media, and website information; Provides case management for Senior Care Act clients; including intake and assessment; arranges for services, ensures quality of service provided; provides referral to additional resources; Prepares grant applications as required; Prepares quarterly, semi-annual, and annual reports as required; Prepares statistical reports and financial reports as required; Monitors all clients receiving services through Butler County Department on Aging; Serves as acting department director in the Director's absence; Serves as Program Manager for the Department on Aging; Serves as UAI (Uniform Assessment Instrument) Assessor; Performs other duties as deemed necessary or as required. Certificate, License :
Valid driver's license Required Education and/or
Experience:
Four years related experience, High School Diploma or G.E.D.; or a Bachelor's degree from a college or university; or an equivalent combination of education and experience. Employee is expected to have acquired the necessary information and skills to perform the job reasonably well after twelve months in the position. Experience dealing with the care and needs of senior citizens. Experience in budget preparation and oversight. 40 Hours of continuing education is required annually. Preferred Education and/or
Experience :
Five years related experience, High School Diploma or G.E.D.; or a Bachelor's degree from a college or university and one year of experience; or equivalent combination of education and experience. Experience in gerontology, nursing, health, social work, counseling, human development and family studies or related area.
Abilities, Knowledge, Skills :
Ability to apply concepts of basic algebra and geometry; Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume; Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public; Ability to express or exchange ideas by means of communications; conveying detailed or important instructions and information to the general public; Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form; Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations; Ability to reliably and predictably carry out duties; Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; Ability to write reports, business correspondence, and procedure manuals; Knowledge of basic office practices and clerical skills are required; Knowledge of personal computers is required; Knowledge of the Uniform Assessment Instrument (UAI) is required; Skill and proficiency in all standard office equipment; Skill in interpersonal, oral and written communication.
Problem Solving :
Problem solving exists in this position relative to determination of appropriate service for clients, making referrals to appropriate agency and maximizing funding dollars.
Decision Making :
Decision-making exists in this position. Problems include making administrative decisions in the Director's absence, determination of appropriate services and referring to appropriate agency.
Accountability :
Employee is responsible for management of federal, state and county funds, under the direct supervision of the Director.
Supervision :
Limited supervision is provided; job related decisions are reviewed by the Director. Employee is responsible for supervision of the Senior Companions, employees connected with the General Public Transportation project, and all staff members in the Director's absence. May carry out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities may include coaching, training employees; planning, assigning, and directing work; addressing complaints and resolving problems.
Personal Relationships :
Continual contact with other governmental agencies, volunteer organizations, service agencies and the general public.
