Job Description

BARREN RIVER AREA SAFE SPACE, INC. JOB DESCRIPTION FEEDING PROGRAM COORDINATOR FLSA
Status:
Non-Exempt
WHO ARE WE?
We are the regional Domestic Violence Shelter & Program serving the BRADD region, consisting of Allen, Barren, Butler, Edmonson, Hart, Logan, Metcalfe, Monroe, Simpson, and Warren counties. Our agency serves survivors of domestic violence through three core program areas: residential shelter services, community outreach and advocacy, and housing support. Our emergency shelter operates 24 hours a day, 7 days a week, providing a safe and nurturing environment for residents and their children — including nutritious, home-cooked meals every day. The mission of BRASS, Inc. is to provide safety and support to victims of domestic violence and their children and empower them with opportunities that lead to self-sufficiency. We educate our community about domestic violence to help identify and spark change, and we advocate to protect the rights of individuals so everyone in our community can be free from abuse. We want to live in a community where patterns of abuse are broken and stigmas are gone — a place where society is supportive of survivors, every person matters, homes are free from abuse, and healthy relationships thrive.
WHO ARE YOU?
You are a dependable, organized, and caring individual who understands that a warm, nourishing meal is more than food — it is part of how survivors feel safe and cared for. You take pride in a clean, well-run kitchen and bring both practical cooking skills and attention to detail to everything you do. You are comfortable working independently, managing your time across meal planning, shopping, cooking, and recordkeeping without constant direction. You understand that federal food program compliance is not optional — you treat documentation and meal records with the same care you give the food itself. You are flexible, reliable, and genuinely committed to contributing to a shelter environment where residents and staff feel nourished and supported. You approach every interaction with residents and children with professionalism, compassion, and an understanding that the people you serve are in a vulnerable moment in their lives.
OVERVIEW
The Feeding Program Coordinator is a part-time position responsible for the planning, preparation, and federal compliance of BRASS, Inc.'s shelter meal program, operated under the Child and Adult Care Food Program (CACFP). This position oversees all aspects of daily meal service — from menu planning and grocery procurement to cooking, kitchen sanitation, food inventory, and CACFP documentation. The shelter kitchen is subject to inspection by the Kentucky health department, and this position is responsible for ensuring the kitchen meets inspection standards at all times. Because this role operates within an active domestic violence shelter serving survivors and children, the Feeding Program Coordinator is expected to maintain trauma-informed conduct, strict confidentiality, and mandatory reporter obligations under Kentucky law. This position reports to the Senior Director of Residential Services and Residential Services Manager. Plan monthly menus for shelter lunch and dinner service that meet CACFP meal pattern requirements, including required food components and age-appropriate portion size and submit a complete monthly menu to the Senior Director of Residential Services for review and approval prior to the start of each month; adjust individual daily menus as needed within the approved monthly framework. Accommodate documented dietary restrictions, allergies, and cultural food preferences of current residents; coordinate with shelter advocates to stay informed of resident needs. Ensure menus reflect nutritional variety, seasonal availability, and cost-effective use of available food stock and donations. Properly handle, store, and log any USDA commodity foods received in accordance with USDA program requirements; incorporate commodity foods into menu planning where appropriate. Coordinate monthly Feeding America food delivery; serve as the on-site point of contact for Feeding America drop-offs, ensure all items are properly logged upon receipt, inspected for condition and expiration, stored according to food safety standards, and incorporated into monthly menu planning where appropriate. Track and report Feeding America commodity food numbers on a monthly basis in accordance with Feeding America reporting requirements; submit documentation to the Senior Director of Residential Services and CFO as required. Prepare and serve lunch and dinner for shelter residents each scheduled shift in accordance with the approved monthly menu. Follow safe food handling and preparation practices at all times in compliance with ServSafe Manager standards and Kentucky health department requirements. Conduct grocery shopping and food procurement on a scheduled basis to maintain adequate food stock for planned menus, using the agency vehicle. Track food expenditures against the program budget; submit all receipts and purchasing documentation to the CFO in a timely manner. Maintain an organized, accurate inventory of all food stock, including dry goods, refrigerated items, and frozen items. Conduct regular audits of food stock for expiration dates; remove and properly dispose of expired items and document accordingly. Maintain a clean, organized, and compliant kitchen environment at all times in accordance with Kentucky health department standards and CACFP requirements.
QUALIFICATIONS
At least 18 years of age. High school diploma or GED required; coursework or certification in culinary arts, nutrition, food service management, or a related field preferred. Minimum of one (1) year of experience in food service, institutional cooking, or meal program coordination. Must obtain ServSafe Manager Certification within 90 days of hire; agency will cover the cost of initial certification. Knowledge of or willingness to learn CACFP meal pattern requirements, recordkeeping obligations, and reimbursement claim processes. Familiarity with Kentucky health department kitchen standards preferred. Ability to plan, prepare, and serve nutritious meals for groups of varying sizes. Strong organizational skills with attention to detail in documentation and inventory management. Ability to work independently and manage time effectively across cooking, shopping, cleaning, and administrative tasks. Physical ability to stand for extended periods, lift up to 50 pounds, and perform the physical demands of kitchen work. Ability to accommodate dietary restrictions, allergies, and cultural food preferences in meal planning. Understanding of and commitment to trauma-informed care principles as they apply to working in a domestic violence shelter environment. Completion of mandatory reporter training or willingness to complete within 30 days of hire.
