Job Description

The Home for Little Wanderers' Walpole campus and programs based in Walpole, MA is seeking a Program Office Coordinator. The person in the role will provide administrative coordination and support to the program, in addition to overseeing the facility's needs and ensures the appropriateness of the maintenance and upkeep of the program. How You'll Be Making a Difference When you join The Home for Little Wanderers, you join a team of professionals dedicated to creating better, brighter futures for kids. Evaluate and coordinate the maintenance of the program as well as ensure the completion of repairs in a timely manner. Maintain supplies for program through an inventory and requisition process. Coordinate purchasing of supplies at appropriate vendors and ensure that purchasing is cost effective. Maintain appropriate paperwork needed to order, repair or replace equipment, furniture, and materials. Oversee the housekeeping and upkeep of the building and grounds of the program to ensure that the program remains clean and safe. Oversee the management of the kitchen and ensure that it is maintained according to safety guidelines. May play the role of Safety Officer at the program. Ensure the safety and security of the program. Report any security incidents to Program Director and Facilities Manager. Maintain required fire drills quarterly. Maintain program computers, copiers, fax machines. Coordinate servicing when needed. Guide and oversee the day-to-day tasks of the cook, maintenance staff, driver and housekeeping. Track training attendance of all staff. Ensure timely submission of bills and staff timesheets. Complete and manage petty cash request, reimbursement forms, check requests. Complete and deliver service reports, census reports and school lunch forms. Complete the data entry of incident reports, restraint reports, client and staff data/records. Maintain SSI letters and delivery. Generate monthly program reports and manage administrative filing, mailing and copying. Attend Management Team meetings. Provide minutes of the meeting to management staff. Actual compensation will be based on a variety of factors, including a candidate's relevant experience, education, skills, and internal equity relative to other employees in similar roles. Candidates with less directly related experience may be placed toward the lower end of the range, while those with extensive or specialized experience may be placed toward the higher end. Market conditions and budget considerations may also influence final pay decisions.
