Mississippi Mineral Resources Institute Job Summary:
The MMRI Program Coordinator plans and coordinates day-to-day fiscal, administrative, and operational activities of the Institute. Duties typically include assisting with grant planning and administration, fiscal, budgetary, internal and external operational/administrative liaison, program marketing, and reporting.
Job Description:
Provides specialized support in the development, implementation, and marketing of program function. Serves as a central point of contact between students, faculty, staff, other departments, and/or external constituencies on day-to-day programmatic, operational, and administrative matters; assists with seminars, meetings, special projects, and/or general problem resolution. Coordinates activities of support staff, consultants, faculty, and/or volunteers engaged in implementation and administration of program objectives. Monitors and administers program/project revenues and expenses; may develop or participate in the development of funding proposals for the program. Writes, edits, and coordinates development of course catalogs, promotional materials, educational materials, training manuals, newsletters, and/or brochures, as appropriate to the program. Maintains program/project records, researches information and gathers and computes various data; prepares special and/or one-time reports, summaries, or replies to inquiries, selecting relevant data from a variety of sources.
Job Responsibilities:
Primary Job Duties and Responsibilities:
Financial Management:
Develop, monitor, and manage the institute's annual budget, including state appropriations, grants, contracts, and other funding sources. Prepare and submit monthly and quarterly financial reports to the Director, ensuring accuracy and transparency. Oversee accounts payable/receivable, payroll, and procurement, ensuring timely and accurate transactions.
Grant and Contract Administration:
Manage financial aspects of research grants and contracts, including budgeting, expenditure tracking, and compliance with funding agency requirements (e.g., NSF, NOAA, USGS). Assist researchers with budget preparation for grant proposals and ensure accurate financial reporting to funding agencies. Monitor grant expenditures to prevent overruns and ensure alignment with project objectives.
Office Operations:
Manage facilities, IT resources, and office logistics to maintain a productive work environment.
Human Resources Support:
Supervise office support staff, ensuring effective delivery of operational support for research activities.
Compliance and Policy Management:
Ensure institute operations comply with university policies, state laws, and federal regulations, including financial, legal, and export control requirements. Collaboration and Reporting Build and maintain collaborative relationships with administrative staff in the School of Engineering, the University Office of Research and Economic Development, and other research centers. Prepare regular reports on financial and operational activities for the Director and the Dean of the
School Preferred Qualifications:
Bachelor's degree in business administration, accounting, finance, or a related field. 3+ years of experience in financial or grant management in a research institution or equivalent private-sector role. Knowledge, Skills, and Abilities (KSA): Strong understanding of financial and management systems, with expertise in budgeting and reporting in a scientific or relevant business environment Strong organizational and communication skills. Details oriented and accuracy in financial tracking, budgeting, and reporting Expertise in the use of Excel or equivalent software. Ability to work under pressure, meet deadlines, and handle sensitive information with tact and discretion. Familiarity with standard office administrative practices and ability to learn institute-specific procedures.
