Behavioral Health Program Coordinator TSG Behavioral Health & Community Services Location:

$18.00 - $20.00 per hour

In-office Schedule:
Monday-Thursday, primarily 10:30 AM-5:00 PM, with some flexibility as needed About Us TSG Behavioral Health & Community Services provides behavioral health support to individuals experiencing stress, anxiety, depression, trauma, and emotional challenges connected to major life events, accidents, and personal hardship. We work with clients, therapists, law firms, and referral partners to help clients access care and stay connected throughout the treatment process. We are hiring a Behavioral Health Program Coordinator to help manage referrals, client follow-up, paperwork, therapist coordination, and communication with referral partners. Position Summary The Behavioral Health Referral Coordinator will help keep the program organized and moving. This person will work from our Charlotte office and coordinate closely with our remote coordinator, therapists, clients, and referral partners. This is a great role for someone who is organized, professional, good with follow-up, and comfortable communicating by phone and email. The coordinator does not provide therapy, make clinical decisions, or give legal advice. This is an administrative and coordination role. Key Responsibilities Referral & Client Coordination Contact new clients referred to the program. Help clients complete intake forms, consents, releases, and other required paperwork. Track where each client is in the process, including intake, scheduling, therapist assignment, appointments, and follow-up. Help clients stay connected with their assigned therapist. Follow up on missed appointments or incomplete paperwork. Escalate client concerns to the appropriate supervisor or licensed professional. Therapist Coordination Help track therapist availability and client assignments. Assist with onboarding paperwork for new therapists. Follow up with therapists regarding scheduling, documentation, and client updates. Notify leadership when additional therapist coverage may be needed. Help make sure therapist communication stays organized and timely. Law Firm & Referral Partner Communication Communicate professionally with law firms and referral partners. Provide appropriate updates regarding referral status, scheduling, attendance, and general progress. Track referral sources, follow-up dates, and partner communication. Help collect required documents, authorizations, releases, or case-related paperwork. Protect client privacy and follow HIPAA/confidentiality rules. Paperwork & Compliance Support Keep client files organized. Track missing documents and follow up until completed. Help make sure required forms are collected and uploaded properly. Monitor basic documentation timelines and notify leadership of delays. Follow agency procedures for confidentiality, communication, and recordkeeping. Outreach Support Assist with outreach to new law firms and referral partners. Send approved emails and make follow-up calls. Help maintain a contact list of potential referral sources. Track outreach activity and responses. Help schedule introductory calls or meetings when needed. Qualifications Required High school diploma or GED required. Strong phone, email, and customer service skills. Strong organization and follow-up skills. Ability to work in-office in Charlotte, NC. Ability to handle confidential information professionally. Comfortable using email, online forms, spreadsheets, and client management systems. Dependable, professional, and detail-oriented. Preferred Experience in behavioral health, healthcare, legal office support, intake, scheduling, case coordination, or customer service. Experience communicating with clients, law firms, healthcare providers, or therapists. Familiarity with HIPAA, releases of information, intake forms, or client records. Bilingual English/Spanish is a plus, but not required. Ideal Candidate The ideal candidate is organized, calm, professional, and consistent with follow-up. This person should be able to manage phone calls, emails, paperwork, client updates, and basic tracking without becoming overwhelmed. This is a good fit for someone who enjoys helping people, keeping systems organized, and supporting a growing behavioral health program.
