The Program Coordinator will:
Train all Health Care Authority (HCA) staff throughout all divisions, as it relates to fixed assets; Train all staff to properly track and accurately report fixed assets to include management and approvals; Ensure HCA is in line with all policies, procedures and compliance with State and Federal regulations; Act as financial services support in processing all pertinent purchase orders, payment vouchers, receipting, tracking and fiscal transactions on a weekly, bi-weekly, monthly and quarterly basis to establish timely and accurate rent payments for minimum of sixty-five (65) locations; Serve as financial support for minimum of seven (7) State owned buildings in processing all pertinent purchase requisitions, purchase orders, payment vouchers, receipting, tracking and fiscal transactions on a daily basis to establish time sensitive scheduling of required building maintenance items. How does it get done? The Program Coordinator is responsible for: Managing HCA Fixed Assets recording, tracking, disposition and tagging of Capital Assets; Producing information for asset management training materials and presentations; Managing HCA occupied Leased Facilities encumbrances and payments working with HCA Division Financial Managers and procurement staff Manager; Completing all duties following applicable rules and regulations of the Department of Finance and Administration (DFA), General Services Department (GSD), and NM Procurement Code ensuring accuracy and meeting assigned deadlines; Managing HCA Lease Master information and providing accurate lease tracking costs for Annual Fiscal year budget and audit; Excellent communication skills and engaging the audience during training; Monitoring Day to day operations and utilizing strong project management skills to oversee multiple projects and to attend to issues as they arise; Traveling to HCA locations statewide when necessary to verify assets and provide training. Who are the customers? All Health Care Authority (HCA) Divisions who occupy leased and State-Owned facilities as lead tenant. Minimum Qualification Associate's Degree and two (2) years of experience program administration or project management in areas related to the purpose of the position. Any combination of education and/or direct experience in this occupation totaling four (4) years may substitute for the required education and experience. Employment Requirements Must possess and maintain a valid Driver's License. Must obtain and maintain a Defensive Driving certification. Working Conditions Work is usually performed in an office setting, with extensive exposure to Visual/Video Display Terminal (VDT), personal computer, tablet, printer, calculator, cellphone, copy machine, scanner, keyboard, and telephone usage.
