ASSISTANT MANAGER
Position Overview The Assistant Manager is responsible for organizing and coordinating Homework Hub's daily office operations and procedures. This individual plays an essential role in maintaining an efficient, organized, professional, and safe environment for office staff, instructors, students, and families. The ideal candidate has experience handling a wide range of administrative and executive-support responsibilities. This individual must demonstrate strong leadership skills, exceptional organization, computer proficiency, efficiency, flexibility, and the ability to work successfully in a busy, fast-paced academic center. Key Responsibilities Office Maintenance and Organization Oversee and assist with daily office operations and maintenance Prepare mailings and order office and instructional supplies Monitor office equipment and address maintenance needs Ensure that the main office, front desk, hallways, bathrooms, supply closets, and classrooms remain clean, organized, and properly maintained Supervise cleaning staff and ensure that assigned responsibilities are completed Administrative and Financial Support Perform general administrative and clerical duties Prepare, organize, copy, scan, file, and distribute instructional materials, assignments, classwork, and correspondence Maintain accurate student records and collect required forms Update databases, schedules, and office files Process registrations Collect payments and enter them accurately into Homework Hub's database and payment records Prepare reports and provide administrative support to management and instructional staff Reconcile all payments collected during the shift and ensure that cash, checks, credit-card payments, receipts, and database totals balance accurately at the end of each night Notify management promptly of missing payments or discrepancies Database and Schedule Management Schedule students and instructors while carefully tracking room assignments and availability Manage schedule changes, cancellations, and rescheduling requests Order student packages and enter online orders Collect required student forms Learn and accurately use Homework Hub's database systems Work quickly and efficiently on the computer while maintaining a fast and accurate typing rate Communication and Customer Service Serve as a primary point of communication among families, students, instructors, management, and office staff Manage and respond promptly to a high volume of emails, text messages, and telephone calls Confirm appointments and follow up regarding session bookings Promptly notify instructors of schedule changes Address scheduling questions and concerns professionally Help resolve concerns efficiently while maintaining a high level of customer satisfaction
EDUCATIONAL PROGRAM COORDINATOR
Position Overview The Educational Program Coordinator is responsible for overseeing and coordinating Homework Hub's educational programs, including Homeschool Hub, The Learning Pod, Supplemental Learning Pods, at-home tutoring, and the development of a Home Instruction Program. This individual will also support Homework Hub's tutoring, intervention, executive functioning, enrichment, test-preparation, review programs, workshops, field trips, and other educational services. The ideal candidate must have classroom teaching experience and a strong understanding of students' academic and developmental needs across different grade levels. This individual must be knowledgeable, organized, proactive, computer-savvy, flexible, and capable of coordinating multiple educational programs simultaneously. Homeschool Hub and Learning Pod Oversight Oversee the daily organization and operation of Homeschool Hub and The Learning Pod Coordinate student enrollment and placement into appropriate Learning Pods Maintain accurate student schedules, group placements, and instructor assignments Coordinate private and small-group instruction, Supplemental Learning Pods, workshops, field trips, and specialized programs Monitor enrollment and assist with forming new classes based on student needs and interest Support teachers with student information, instructional materials, schedules, and educational resources Monitor student attendance, participation, engagement, academic progress, and program needs Maintain an organized, structured, supportive, and engaging learning environment Ensure that program information, requirements, and schedules are communicated clearly and accurately Teaching and Substitute Coverage Serve as a substitute teacher or arrange qualified substitute coverage for Homeschool Hub, The Learning Pod, Supplemental Learning Pods, and other Homework Hub programs Provide substitute coverage only for subjects and grade levels the coordinator is qualified and comfortable teaching Follow established lesson plans and provide appropriate instruction when covering a class Supervise students and maintain a safe, structured, productive, and engaging classroom environment Communicate relevant information regarding student participation and progress to management and instructional staff Home Instruction Program Development Work closely with management to create, develop, launch, and oversee Homework Hub's Home Instruction Program Help establish the program's structure, goals, services, procedures, and instructional expectations Assist management with selecting curriculum for Homework Hub's Home Instruction Program Develop lesson-planning procedures and organize instructional materials and resources Coordinate student enrollment, academic placement, instructor assignments, and program schedules Help recruit, onboard, train, and support qualified teachers Develop systems for attendance, lesson summaries, progress monitoring, grading, and instructional documentation Help create program descriptions, registration forms, teacher guidelines, student records, and communication procedures Coordinate private, small-group, in-person, virtual, and at-home instructional options when appropriate Monitor the program after implementation and recommend improvements based on student and instructional needs Ensure that the Home Instruction Program remains organized, consistent, and aligned with Homework Hub's educational standards Academic Support Coordination Recommend appropriate Homework Hub Supplemental Learning Pods and services based on each student's academic needs and parent-directed goals Coordinate tutoring, intervention, executive functioning coaching, enrichment, and other educational services Coordinate subject-specific academic support based on the parent's direction Reinforce the curriculum selected by the parent for homeschooled students Ensure that instructors are informed of students' learning needs and instructional accommodations Coordinate differentiated instructional support when appropriate Match students with appropriate instructors and programs Promote consistency between instructional services and family expectations Address academic scheduling, placement, and program concerns Progress Monitoring and Documentation Enter lesson summaries for online, in-person, private, small-group, and at-home sessions accurately and promptly Collect and review lesson summaries, student progress notes, and instructional feedback Follow up with instructors when additional information is required Maintain accurate and confidential student records, attendance records, progress reports, and internal documentation Communicate with instructors to identify student strengths, academic concerns, and opportunities for additional support Coordinate follow-up services based on instructor recommendations and parent-directed goals Provide authorized attendance records, instructional summaries, subjects covered, progress information, and teacher feedback when appropriate Ensure that all information provided by Homework Hub is accurate, timely, and supported by maintained records Family and Instructor Communication Serve as one of Homework Hub's primary contacts for Homeschool Hub and Learning Pod families Coordinate communication among families, instructors, management, and administrative staff Explain Homework Hub programs and educational services clearly and accurately Schedule and coordinate meetings regarding student participation and progress Respond to questions and ensure timely follow-up Recommend appropriate Homework Hub support and enrichment services Communicate schedules, reminders, and program updates Provide outstanding customer service to current and prospective families Review Programs and Seasonal Support During Regents, AP, SAT, ACT, finals, entrance-exam preparation, and other review-program seasons, the Educational Program Coordinator will: Assist with student registration and enrollment Prepare and maintain class rosters and attendance records Communicate schedules, reminders, and program updates Prepare instructional materials and student packets Support instructors with classroom logistics and administrative needs Assist with classroom setup, organization, and overall program operations Complete additional duties needed to support the successful operation of seasonal programs Administrative, Ecwid, and Financial Support Process and manage Ecwid orders accurately and promptly Create and post classes, programs, packages, and other offerings on Ecwid sales pages Maintain accurate enrollment, registration, order, and payment records Review, organize, and maintain student forms and required documentation Monitor Homework Hub email accounts, respond to inquiries, and ensure timely follow-up Assist with student registration, scheduling, and general office administration Collect payments and enter them accurately into Regents, Honors, Advanced Placement, intervention, enrichment, executive functioning, and standardized test-preparation programs Assist with recruiting, onboarding, and supporting qualified instructors Ensure that programs remain organized, consistent, and aligned with Homework Hub's expectations Maintain accurate program records, student information, schedules, and instructional documentation Monitor programs and recommend improvements based on enrollment, student needs, and instructor feedback Homeschool Program Boundaries The Educational Program Coordinator supports Homework Hub's educational services but does not provide homeschool compliance consulting or serve as a family's homeschool advisor.
The Educational Program Coordinator must:
Use accurate, homeschool-appropriate language in all communications Never represent Homework Hub as a school Never imply that Homework Hub is the parent or teacher of record Refer homeschool compliance and advisory questions to My Homeschool Expert™ when appropriate Maintain clear professional boundaries between Homework Hub's educational services and independent homeschool advisory services Recognize that parents remain responsible for applicable homeschool documentation and reporting requirements unless they separately retain an independent homeschool advisor This position does not include: Providing homeschool compliance consulting Selecting or approving an individual family's homeschool curriculum Preparing or reviewing Individualized Home Instruction Plans Preparing quarterly reports Conducting annual homeschool evaluations Providing legal or regulatory advice regarding homeschooling Representing families before school districts Acting as a family's homeschool advisor of record
REQUIREMENTS FOR BOTH POSITIONS

ADDITIONAL REQUIREMENTS FOR THE EDUCATIONAL PROGRAM COORDINATOR
Previous classroom teaching experience is required Experience coordinating educational programs, students, and instructors Strong understanding of students' academic and developmental needs across different grade levels Knowledge of intervention, enrichment, executive functioning, Regents, Honors, Advanced Placement, and standardized test-preparation programs Ability and willingness to teach or arrange substitute coverage when necessary Ability to oversee Homeschool Hub, The Learning Pod, and Supplemental Learning Pods Ability to help create, implement, and oversee a Home Instruction Program Strong student-placement, progress-monitoring, recordkeeping, and communication skills Ability to maintain appropriate boundaries regarding homeschool compliance and advisory services Ability to provide outstanding customer service in a fast-paced academic environment

SCHEDULE
Monday through Friday from 3:30 p.m. to 8:30 p.m. Sunday from 8:45 a.m. until closing, no later than 2:15 p.m. Employment is contingent upon satisfactory completion of required screening, which may include criminal background, reference, employment-history, and education-history checks.
