Mentorship Academy Advance Training Institute, Inc. Position Summary The Program Manager provides leadership and day-to-day management for assigned Mentorship Academy educational and college-access programs. The position is responsible for ensuring that programs are implemented in accordance with approved grant objectives, organizational policies, applicable federal/state requirements, and established performance expectations. The Program Manager supervises assigned staff, coordinates partnerships with schools and community organizations, monitors participant recruitment and services, oversees academic-year and summer programming, manages program activities and travel, monitors assigned budgets, and ensures that required program data and documentation are complete and accurate. The Program Manager serves as the primary operational leader for the assigned region/program and is accountable for translating the approved grant and annual work plan into high-quality services for students and families. Essential Duties and Responsibilities Program Leadership & Management Provide day-to-day leadership and management of assigned programs and regional operations. Develop and implement annual program work plans, calendars, service schedules, and performance goals. Ensure programming is aligned with approved grant objectives, participant needs, and organizational priorities. Coordinate academic-year, afterschool, Saturday, summer, college-access, and enrichment programming as applicable. Conduct regular staff meetings and communicate program priorities, deadlines, and expectations. Identify operational challenges and implement corrective actions in consultation with senior leadership. Provide regular program updates to the Director and executive leadership. Staff Supervision Provide direct supervision, coaching, and accountability for assigned full-time and part-time staff. Establish individual staff responsibilities and performance expectations. Review staff work plans, calendars, schedules, activity plans, and program documentation. Conduct regular individual and team meetings. Monitor staff attendance, productivity, program coverage, and completion of assigned responsibilities. Assist with recruitment, interviewing, onboarding, training, evaluation, and development of program personnel. Ensure instructors, tutors, volunteers, and temporary staff understand program expectations and student-safety requirements. Participant Recruitment & Enrollment Develop and oversee annual participant recruitment and enrollment strategies. Monitor recruitment goals by school, grade level, eligibility category, and program. Ensure participant eligibility is appropriately documented prior to enrollment. Monitor participant files for completeness and accuracy. Maintain appropriate recruitment pipelines to ensure annual funded participant targets are achieved. Ensure required priority populations are appropriately represented in accordance with applicable grant requirements. School & Community Partnerships Serve as a primary program liaison with school administrators, counselors, teachers, district representatives, colleges, community organizations, and other partners. Establish and maintain productive relationships with assigned target schools. Coordinate school-based schedules, student referrals, space, access to academic records, and program activities. Conduct regular meetings with school partners to review participation, student needs, outcomes, and upcoming activities. Ensure partnership agreements, MOUs, data-sharing documents, and other required documentation are maintained as appropriate. Student Services & Program Quality Ensure participants receive meaningful, consistent, and documented services throughout the program year. Monitor delivery of academic support, college and career readiness, financial literacy, leadership development, financial aid assistance, family engagement, mentoring, and other approved services. Review student participation and academic progress and ensure appropriate interventions are implemented when needed. Ensure programming is developmentally appropriate for middle and high school participants. Promote a culture of high expectations, student safety, engagement, and postsecondary achievement. Academic-Year & Summer Programming Lead planning and implementation of academic-year and summer program components. Coordinate afterschool, Saturday, summer, college tour, cultural enrichment, leadership, and special programming as applicable. Develop detailed schedules and staffing plans. Coordinate facilities, instructors, transportation, meals, supplies, technology, and student supervision. Ensure summer programming is appropriately staffed, documented, and evaluated. Conduct post-program evaluations and recommend improvements for future programming. Fiscal & Budget Management Monitor expenditures against approved budget categories and program priorities. Review program purchase requests, travel requests, invoices, projected expenses, and supporting documentation before submission. Ensure expenditures are reasonable, necessary, allocable, and consistent with applicable grant requirements and organizational procedures. Maintain appropriate separation of costs when activities involve multiple grants or programs. Provide regular budget projections and identify potential under-spending or over-spending concerns. Coordinate with the Director, Office Manager, and leadership on fiscal documentation and reconciliation. Data, Compliance & Performance Ensure accurate and timely entry of participant information, contacts, services, attendance, and outcomes into the designated program database. Monitor program data routinely for missing information, incomplete files, duplicate records, and other compliance concerns. Ensure academic records, transcripts, report cards, test scores, graduation information, and postsecondary enrollment documentation are collected as required. Monitor progress toward annual grant objectives and participant outcomes. Assist with preparation and submission of Annual Performance Reports and other required federal, state, organizational, or funder reports. Prepare for monitoring visits, audits, program evaluations, and compliance reviews. Implement corrective actions when deficiencies are identified. Student Travel & Activities Plan and supervise college tours, educational field trips, cultural experiences, conferences, and other student activities. Review and approve activity plans, itineraries, participant rosters, permission forms, transportation arrangements, emergency information, and staffing assignments. Ensure appropriate student-to-staff supervision and safety procedures. Participate in local and overnight student travel as required. Ensure trip and activity documentation is completed and reconciled following each event. Family Engagement Develop strategies to maintain consistent communication with parents and guardians. Coordinate workshops and resources addressing academic success, college planning, financial aid, career pathways, and postsecondary transition. Ensure families understand program expectations, participation requirements, schedules, and available resources. Minimum Qualifications Bachelor's degree from an accredited college or university in education, counseling, student affairs, social work, public administration, nonprofit management, human services, or a related field. Minimum of three years of progressively responsible experience in education, youth development, college access, nonprofit programming, grant-funded programs, or a related field. Demonstrated experience coordinating programs and supervising staff or project teams. Strong organizational, leadership, written and verbal communication, and project-management skills. Demonstrated ability to manage multiple projects, deadlines, staff responsibilities, and program activities simultaneously. Proficiency with Microsoft Office, Google Workspace, student databases, and other program-management technology. Ability to work a flexible schedule, including evenings, Saturdays, summer programming, and overnight travel. Preferred Qualifications Master's degree in education, counseling, higher education, public administration, nonprofit management, or a related field. Experience with Federal TRIO Programs, including Talent Search or Upward Bound. Experience serving low-income and potential first-generation college students. Experience managing federal or state grant-funded programs. Experience with program budgets, compliance, participant databases, performance reporting, and evaluation. Experience developing partnerships with schools, colleges, community organizations, and families. Maintain safe, organized, and student-centered program operations.
Pay:
$48,000.00 - $50,000.00 per year
