Job Summary The Program Coordinator II coordinates with utility clients, utility customers, and internal teams to support the successful delivery of programs and projects. This position is responsible for program implementation and execution while maintaining effective client coordination, communication, and collaboration. The Program Coordinator II provides technical and program assistance to ESG client utilities and their customers, including processing forms and rebates for energy efficiency services and programs, preparing activity reports and other contractual deliverables, and providing administrative support as needed. Working with a greater level of independence and responsibility, the Program Coordinator II helps ensure program requirements and procedures are followed, customer and client needs are addressed in a timely manner, and deliverables are completed accurately. This position develops and maintains a strong understanding of client programs, goals, and expectations and contributes to strong working relationships with ESG's utility contacts and the broader internal team. This role builds on prior experience in program administration, reporting, or financial tracking. Training is provided in ESG systems and assigned utility programs. Responsibilities Provide technical and program support to client utilities, their customers, and contractors with a greater level of independence and program knowledge. Process rebate forms and support the administration of utility energy efficiency programs. Review rebate applications and perform accurate data entry for utility energy efficiency programs. Provide front line assistance to customers, contractors, and client utility staff, answering questions and resolving program-related issues via phone and email. Assist with phone coverage for ESG client utilities during business hours (8:00 am - 5:00 pm PT Monday through Friday). Complete monthly data verification to ensure program data is accurate, complete, and consistent. Generate accurate monthly utility activity reports and maintain utility budget trackers to meet established deadlines. Identify and help resolve discrepancies or issues related to program data, rebate processing, and program administration. Maintain accurate and organized records for program documentation. Support effective communication and coordination with client utility contacts and internal ESG staff. Requirements Education and training:
High School Diploma (or equivalent). At least three years of experience in program administration, project coordination, or a related position, or equivalent demonstrated experience independently performing comparable responsibilities. Relevant experience should include implementing program requirements, preparing recurring reports, or maintaining and verifying financial records or budget trackers. Strong computer skills required, particularly in Microsoft Office Suite, including Outlook, Excel, and Word. Excel skills should include sorting and filtering data, using basic formulas, and checking records for accuracy. Demonstrated proficiency with computers and standard office equipment.
Desired Attributes Education and training:
Associate degree in business, relevant business certification, or related education. Familiarity with Teams, OneDrive, Dropbox, and other software. Familiarity with databases, accounting software, or other systems used in program administration. Interest in energy efficiency and sustainability. Experience with utility, energy efficiency, solar, or rebate programs is preferred. Typing speed of 40 wpm or higher. Spanish language proficiency. Physical Demands Prolonged periods sitting/standing at a desk and working on a computer. Ability to meet basic physical demands of travel, if necessary. Travel Travel is expected to be infrequent or not at all for this position, at a maximum of less than 3% of working days but may occasionally be required.
