The Program and Operations Coordinator provides program management and administrative support to One Catalyst Consulting, with a focus on supporting various initiatives including leadership development programs and special projects focused on community building, convening and workforce development. The position requires a highly organized professional who can manage operations and administrative functions while simultaneously supporting board and committee needs, program participant communication and meeting and event preparation. The ideal candidate is a strong communicator with a track record of working well with various stakeholders; the ability to anticipate needs and take initiative; and proficiency in managing multiple concurrent projects while prioritizing appropriately. Program and Initiative Coordination Coordinate special initiatives and program cohort logistics, including stakeholder tracking, scheduling, meeting setup and communication. Confirm session and event details such as venue, catering, supplies, materials and facilitator support. Manage webinars and virtual sessions, including platform setup, registration and technical support. Prepare materials for meetings and sector-based engagement. Track project tasks and timelines, and maintain accurate records of participants, sponsors and stakeholders. Board and Committee Support Support board and committee meeting preparation, including scheduling, materials, agenda and presentation development, meeting setup and communication. Handle confidential information with discretion. Prepare meeting minutes and follow up on action items. Maintain governance and board documentation and records. Prepare and coordinate acknowledgements and recognition gifts. Marketing and Communications Support marketing and communication efforts, including Constant Contact campaigns and email correspondence. Develop PowerPoint presentations for meetings, events and stakeholder audiences. Coordinate marketing and printing logistics with graphic designers and vendors. Create and schedule social media posts as directed, including LinkedIn, Facebook and Instagram. Administrative and Operations Support Support basic bookkeeping and expense tracking in QuickBooks Online. Assist with scheduling and calendar coordination across programs. Provide general administrative support as needed. Make minor updates to the organization's website, including content changes, image updates and basic maintenance. Collaborate with web developers or IT support for more complex website updates or enhancements. Follow and help develop or maintain existing workflows, templates and systems to support efficiency across administrative, marketing and communication processes. Flag opportunities to improve workflows and note updates needed to standard operating procedures (SOPs) as processes evolve. Qualifications Bachelor's degree and program coordination, project management or related experience A proactive planner and analytical thinker with a coachable, adaptable and flexible mindset. Resident of the greater Charlotte area with general knowledge of the local nonprofit and civic community. Demonstrated commitment to diversity and community-centered work. Significant, demonstrated experience in operations, program coordination or a related field. A history of working directly with various stakeholders with discretion and composure. Experience with Constant Contact or comparable email marketing platforms. Familiarity with Jotform or comparable form-building platforms. Familiarity with QuickBooks Online or comparable accounting software. Proficiency in Microsoft Office Suite. Strong organizational and logistics skills, including event planning and vendor coordination. Excellent written and verbal communication skills. Ability to manage multiple projects, prioritize effectively and stay steady under pressure. Ability to handle confidential and sensitive information with discretion. Preferred Experience with Canva or similar design tools. Experience managing organizational social media accounts (LinkedIn, Instagram, Facebook). Experience supporting board governance and executive-level communications. Familiarity with coalition building, workforce development or leadership development programming.
