Position Summary The Programs Manager is responsible for the operational management, coordination, and successful execution of DYDLI's leadership development programs and participant engagement initiatives. This role oversees the day-to-day operations of up to two active educational or leadership programs annually, ensuring a high-quality participant experience, operational efficiency, and consistent program delivery aligned with the Institute's mission and organizational standards. The Programs Manager exercises independent judgment in managing program operations, coordinating cross-functional workflows, resolving operational challenges, and implementing process improvements that support organizational effectiveness and participant success. This position works closely with leadership, faculty, facilitators, vendors, community partners, and participants to support program execution, communication, logistics, outreach, and operational continuity within a fast-paced, mission-driven environment. The ideal candidate is highly organized, adaptable, resourceful, and solutions-oriented, with the ability to take ownership of assigned programs and operate effectively in an evolving organizational environment. The Programs Manager should be comfortable balancing strategic coordination with hands-on execution and leveraging modern workplace technologies and AI-enabled tools to improve workflow efficiency, communication, reporting, and program operations. Program activity varies seasonally throughout the year. During lower-volume program periods, this role may support organizational initiatives including event preparation, alumni engagement efforts, operational documentation, reporting, outreach activities, and institutional projects such as the Annual Gala. Key Responsibilities 1. Program Operations & Delivery Lead the operational management and execution of assigned educational programs, leadership cohorts, workshops, and participant experiences from onboarding through completion. Develop and manage program timelines, implementation plans, operational workflows, delivery schedules, and communication processes to ensure successful execution and participant satisfaction. Independently manage multiple operational priorities, coordinate program stakeholders, and resolve operational issues to maintain high standards of program delivery and participant experience. Exercise ownership and accountability for assigned programs by proactively identifying operational needs, resolving challenges, and supporting successful program outcomes. Ensure programs are delivered on schedule, aligned with organizational standards, and executed with professionalism, consistency, and operational effectiveness. 2. Participant Engagement & Outreach Manage participant communications, onboarding processes, scheduling coordination, and operational support throughout the program lifecycle. Support participant outreach, relationship cultivation, and enrollment efforts to help maintain strong and engaged program cohorts, including scholarship-supported participation opportunities. Build and maintain positive relationships with participants, facilitators, community partners, and external stakeholders in support of program engagement and organizational visibility. Respond to participant concerns and operational needs with professionalism, discretion, sound judgment, and timely follow-through. Support alumni engagement and community-building initiatives during program and non-program periods as assigned. 3. Program Logistics & Coordination Coordinate operational logistics for virtual and in-person program delivery, including scheduling, materials management, faculty coordination, vendor communication, technology setup, and event execution support. Serve as an operational lead during live program delivery to ensure program activities, communications, and systems function effectively. Support operational coordination and logistics preparation for major Institute initiatives and events, including the Annual Gala. Demonstrate flexibility and adaptability in responding to evolving program and organizational needs. 4. Operational Systems & Process Improvement Evaluate and improve operational workflows, systems, and processes to enhance organizational efficiency, participant experience, and program effectiveness. Demonstrate proficiency utilizing modern workplace technologies, AI-enabled tools, and digital operational systems to improve workflow efficiency, communication, reporting, scheduling, documentation, and participant engagement processes. Evaluate opportunities for responsible and practical technology integration that enhances operational effectiveness while maintaining organizational standards, confidentiality, and participant experience quality. Maintain organized operational records, participant information, reporting systems, and program documentation to support operational continuity and organizational needs. 5. Program Evaluation & Reporting Collect, analyze, and report on participant feedback, engagement metrics, operational performance data, and program outcomes. Identify operational trends, workflow challenges, and opportunities for continuous improvement, and provide recommendations to leadership regarding operational enhancements and participant experience strategies. Maintain consistent communication with leadership regarding program status, operational priorities, participant concerns, scheduling matters, and implementation progress. 6. Professionalism & Organizational Representation Demonstrate professionalism, accountability, independent judgment, confidentiality, and operational ownership in all aspects of program management and organizational representation. Represent the Institute professionally in interactions with participants, faculty, vendors, community partners, and external stakeholders. Support the Institute's mission of advancing and empowering women leaders through high-quality educational program operations and participant-centered service. Qualifications Bachelor's Degree required. Minimum 4+ years of experience in program management, operations management, educational programming, leadership development, higher education, community college systems, event operations, or related fields. Demonstrated experience managing operational workflows, participant-facing initiatives, and multi-phase educational or cohort-based programs. Experience working within higher education, educational institutions, cohort-based learning environments, leadership development programs, community college systems, or mission-driven educational organizations strongly preferred. Strong organizational leadership, operational coordination, and project management skills. Demonstrated ability to exercise independent judgment, adapt to evolving priorities, manage competing responsibilities, and resolve operational challenges in a fast-paced environment. Resourceful, proactive, and solutions-oriented with a strong sense of ownership and accountability. Excellent written, verbal, and interpersonal communication skills. Strong analytical, problem-solving, and organizational abilities. Experience working in remote or hybrid work environments. Strong proficiency with Zoom, virtual delivery platforms, and modern workplace technology systems. Comfortable utilizing AI-enabled tools and digital technologies to support operational efficiency and workflow management. High level of professionalism, discretion, and confidentiality. Ability to work independently while collaborating effectively with leadership and stakeholders. Experience supporting mission-driven organizations, leadership institutes, coaching organizations, educational programs, or women-centered initiatives preferred. Southern California residency required; Los Angeles County preferred.
