Create and maintain school accounts, contacts, delivery details, schedules, and program information. Create and distribute weekly price sheets; plan menus and monitor school budgets. Coordinate order schedules and details so deadlines are met and deliveries are successful. Plan special and gift orders with schools and confirm all execution details. Support basic account administration, including credits, special invoicing requests, and accounting needs. Customer Experience & Relationship Management Lead onboarding for new and returning schools Build and maintain close, positive relationships with schools using the FruitGuys voice and 5Rs service principles. Communicate regularly with schools by email and phone, providing clear updates and dependable follow-through. Resolve service, product, billing, and delivery issues with urgency; coordinate across departments and close the loop with the customer. Develop strong knowledge of FruitGuys products and school programs so schools receive accurate guidance and practical solutions. Identify customer needs and recommend relevant special programs, seasonal commodities, promotions, or other offerings. When appropriate, visit schools and attend conferences or special events; occasional overnight travel may be required. Nutrition Education & Program Materials Send welcome kits and required program information. Support schools with digital content and access to online resources. Maintain, pack & send out warehouse inventory of printed program materials and manage distribution of electronic nutrition education. Coordinate school counts, delivery addresses, shipping schedules, and other details needed for nutrition education materials. Support for the Sales/School Program Director Provide day-to-day administrative and operational support, including reports, account information, scheduling, meeting preparation, and follow-up. Assist with RFP responses, customer requests, and documentation. Help plan and execute the annual school nutrition conference and other program events. Take ownership of special projects and emerging priorities as assigned. Work closely with Sales on outreach to prospective and current school customers and provide smooth handoffs into onboarding and account management. Marketing Partner with Marketing to coordinate weekly customer emails, including program updates, marketing materials, and special offers. Upload approved marketing materials to school website portals and confirm content is accurate and current. Support school-focused campaigns and promotions by coordinating potential & current customer lists, deadlines, content, and follow-up. Share school feedback and program insights with Marketing to improve messaging and materials.
What Success Looks Like:
Accurate order execution: School orders, account updates, price sheets, menus, budgets, and delivery details are complete, accurate, and entered by established deadlines.
Reliable customer experience:
Schools receive proactive, professional communication; questions and issues are acknowledged promptly, owned through resolution, and followed up on consistently.
Successful program onboarding:
New and returning schools are fully set up before service begins, including delivery information, invoicing requirements, welcome materials, and digital resources.
Strong school relationships:
Assigned accounts experience consistent outreach, practical support, and thoughtful recommendations that strengthen retention and participation in school programs.
Effective cross-functional coordination:
Operations, Sales, Accounting, Marketing, and other partners receive clear, timely information needed to meet customer commitments. Support to
School Program Director:
The School Program Director receives dependable support with reporting, RFPs, conferences, special projects, schedules, and follow-through on program priorities.
Marketing Collaboration:
Customer-facing emails, promotions, special offers, and digital materials are accurate, on brand, approved when required, and delivered on schedule.
Continuous improvement:
Troubleshoot issues by effectively identifying, documenting, addressing, and resolving through practical process improvements that increase accuracy, efficiency, and service quality.
Schedule:
Regular schedule: Monday through Friday, 6:30am -3:00pm (possible start at 7am). Hybrid position, mostly remote with in office up to 2 days/week Occasional travel, including potential overnight.
Preferred Qualifications:
Bay Area, CA located a plus Bachelor's degree preferred Previous advanced account management, customer service, or related experience preferred. 6 month or more strongly preferred. Experience working with schools or school nutrition programs is a plus. Demonstrate ability to work both independently and collaboratively within a team, exercise initiative, stay organized, and follow through while managing multiple deadlines. Adaptable, proactive, responsive, customer focused, detail oriented, with excellent problem solving skills and thorough follow through Strong written, verbal communication skills and phone etiquette with professional, positive demeanor and composed in as fast paced, deadline driven environment. Working knowledge of Google Workspace and Microsoft Office; NetSuite experience is a plus. Willing to learn new technologies quickly
