Job Description

The Apprenticeship Coordinator plays a key role in supporting the successful operation of the U.S. Apprenticeship Program. This position works closely with the Apprenticeship Instructor, mentors, and apprentices to ensure smooth program delivery, effective communication, and high-quality learning experience for participants. The coordinator will manage logistics, track progress, facilitate training schedules, and act as a central point of contact for all apprenticeship program needs. Key Responsibilities:
Program Coordination & Support Support the Apprenticeship Instructor with day‑to‑day program operations. Assist in planning, organizing, and scheduling all apprenticeship training sessions. Coordinate travel, accommodations, and training site logistics as needed. Ensure all required materials, tools, supplies, and training resources are prepared and available. Apprentice & Mentor Liaison Serve as the main point of contact between apprentices, mentors, and program leadership. Help facilitate issue resolution, communication, and engagement between mentors and apprentices. Support onboarding of new apprentices into the program. Ensure all apprentices understand program expectations, timelines, and available resources. Tracking, Reporting & Documentation Maintain accurate and up‑to‑date apprentice records, documentation, and training logs. Create and update progress reports for internal stakeholders. Track apprentice milestones, assessments, hours, and certifications. Prepare reports for leadership on program performance and apprentice progression. Communication & Engagement Draft and send program communications, updates, and milestone announcements. Coordinate the creation and distribution of apprentice milestone awards (e.g., badges, certificates, recognitions). Assist with developing program newsletters, updates, or communications to participants and stakeholders. Program Development Provide input to continuously improve the apprenticeship program. Assist in developing new program materials, processes, and tools. Support planning and execution of program events, meetings, or workshops.
Qualifications:
Diploma or degree in Human Resources, Business Administration, Education, or a related field (preferred but not required). Experience in coordination, workforce development, training, or HR support is an asset. Experience working with apprentices, skilled trades, or technical training environments is a plus. Strong organizational and time‑management skills. Excellent communication and interpersonal abilities. Ability to manage multiple priorities in a fast‑paced environment. Detail‑oriented with strong administrative and documentation skills. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and comfortable with digital learning platforms. Strong problem‑solving skills and ability to work independently and collaboratively. Approachable and supportive, with a focus on learner success. Proactive, resourceful, and solutions‑oriented.
