Job Description

Job Summary We are seeking a dynamic and motivated Academic Program Specialist (Outreach Coordinator) to join our educational team. In this role, you will serve as a vital link between the institution and prospective students, community partners, and internal departments. Your energetic approach to outreach, combined with your organizational expertise, will help promote academic programs, increase student engagement, and ensure compliance with institutional policies. This paid position offers an exciting opportunity to make a meaningful impact on student recruitment and academic success through innovative outreach strategies and exceptional customer service. Responsibilities Meets with prospective students and their families during VIP campus visits, providing information about the department and its programs. Also helps coordinate major recruitment events such as the Fall Preview and Spring Showcase, ensuring that visitors have a welcoming and informative experience while learning about the opportunities available in the department. Leads communications, outreach, and public relations efforts to enhance the visibility of the Mechanical and Nuclear Engineering programs. This includes preparing departmental newsletters, magazines and using social media to highlight student achievements, faculty accomplishments, departmental events, and program strengths. Assists with planning and coordinating External Advisory Board meetings, departmental meetings, and alumni engagement activities. Helps with meeting logistics, communications, and follow-up, and records and maintains meeting minutes to ensure accurate documentation and continuity of departmental initiatives. Provides support for continuous program improvement and accreditation efforts within the Mechanical and Nuclear Engineering program. Assists with collecting and organizing data for ABET accreditation, MS and PhD program reviews. Plans and organizes departmental social and cultural events in coordination with the Chair. Also advises and supports ME student organizations by assisting with event planning, activities, and initiatives that enhance student engagement and strengthen the sense of community within the department. Manages the department's display cases and hallway bulletin boards, website and helping highlight student achievements, departmental news, and important announcements. Requirements Proven experience in education administration or academic institution settings, with a strong understanding of admissions, enrollment management, and student recruitment processes. Excellent public speaking skills with the ability to engage diverse audiences confidently. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) for creating presentations, reports, and data management tasks. Strong organizational skills with the ability to manage multiple projects simultaneously while maintaining attention to detail. Excellent written communication skills for creating promotional materials, reports, and correspondence. Ability to handle confidential information responsibly while maintaining professionalism at all times. Prior experience in university settings or working directly with students enhances suitability for this role. Bachelor's Degree from an accredited institution in Business, Communications, or related field and three years of related experience. In-depth knowledge of computers and software. Experience in maintaining and updating websites and social media sites. Ability to analyze and report data in readable form with graphs and graphics. $45,000.00 - $55,000.00 per year
