We are looking for a highly motivated, detail-oriented individual who is passionate about problem solving, relationship building, and providing excellent support to our staff. Successful candidates will have strong communication skills, financial aid knowledge, as well as the ability to work collaboratively in a dynamic, fast-paced environment. Other Requirements:
Occasional travel. May be asked to work weekends, holidays, and outside regular business hours during peak periods. Must comply with Texas A&M System Policy 07.02 Texas Higher Education Fair Lending Practices. Must be in good standing on all Federal Student Loans. The U.S. Dept. of Education will not grant access to student loan data for any individual who is in default status. Access to such information is a necessity for this position. Must be able to rectify default status within three months of employment. Good standing must be maintained for continued employment. Essential Duties/Tasks Training Plans, schedules, and implements weekly staff training sessions, including identifying topics, coordinating presenters, preparing materials, and maintaining the departmental training calendar. Develops and updates training materials and may deliver training sessions as needed. Coordinates program communications, announcements, and marketing related to training and departmental initiatives. Responds to inquiries regarding training offerings and general program activities. Compiles and maintains program statistics, records, and databases. Works closely with supervisors to determine staff training needs and develop new trainings as appropriate. Reviews material and coordinates with Aggie One Stop trainer to ensure scholarship, financial aid, and military education benefits training information is up to date. May assist in preparation and monitoring of budgets for training activities and events. Plans and implements program events such as workshops, meetings, and retreats. Assists in evaluating program effectiveness and identifying opportunities for improvement. Office Support In conjunction with the Assistant to the Executive Director, provides general office support to Scholarships & Financial Aid staff, including tasks such as facilitating secure access, assisting with travel and parking arrangements, and coordinating printing or supply needs. May assist with scheduling meetings, trainings, retreats, and workshops as needed. Serves as back up to the Assistant to the Executive Director for travel and training requests processing through Emburse for Scholarships & Financial Aid. Assists hiring supervisors with routine administrative processes associated with onboarding new employees, such as coordinating schedules, preparing materials, and ensuring completion of required departmental steps. May supervise student workers. Knowledge Base Maintains knowledge of current federal, state and institutional policies, procedures and regulations pertaining to scholarships, financial aid, military education benefits, and administration of the office. Works with subject matter experts to determine timing and scope of changes and how they apply to the office polices and processes and the student system. May assist with general financial aid, scholarships, and military education benefits processes as work schedule allows to gain relevant knowledge of pertinent issues regarding students and families during specific seasons. Attends conferences, courses, and workshops to acquire skills & knowledge for use in the financial aid programs, the Banner student information system, and training and development programs. Policies and Procedures Reviews policies and procedures, suggests and assists in implementation of innovations in department. Works with management to ensure departmental policies and procedures and delegation of authority are maintained and updated. Qualifications Required Education and Experience Bachelor's degree or equivalent combination of education and experience. Two years of related experience. Preferred Qualifications Master's degree in human resources, Student Affairs, Management, or related field. Two years of teaching and/or training experience. One or more years financial aid experience. Knowledge, Skills, and Abilities Knowledge of word processing, spreadsheet, and database applications. Ability to make presentations and train others; Excellent oral and written communication skills; Ability to understand and solve complex problems. Able to evaluate situations and individual abilities and determine trainings needs and best ways to meet them. Demonstrated ability to make unbiased/objective decisions based on the overall project needs and priorities. Demonstrated ability to synthesize the various needs of constituent groups. Demonstrated ability to maintain strong working relations with groups and the ability to prioritize. Demonstrated ability to complete tasks on schedule and within budget. Working knowledge of standard office equipment. Requires ability to multi-task and work cooperatively with others. Who We Are The mission of Scholarships & Financial Aid is to provide students and their families with information and financial resources to attend Texas A&M University, along with support programs that promote higher education and developmental opportunities. We administer scholarships and financial aid, which include the following programs: grants, student loans, student employment, veteran educational benefits, athletic aid coordination, short-term loans, and emergency tuition and fee loans. In addition, our office provides advising on the programs listed above. Our office is responsible for processing student aid and veteran educational benefits for College Station, Galveston, and all Health Science Center sites which totaled approximately $1 billion in financial aid assistance for the prior academic year.
