Job Details Job Summary The Program Coordinator coordinates the operation of programs or projects, exercising independent judgment and authority as required. This position ensures programs run efficiently, meet goals, and stay within budget. This role serves as the liaison between teams and stakeholders to achieve success and growth. Core Responsibilities Coordinate institutional processes supporting faculty nominations for national, international, professional society, and academy honors, awards, fellowships, and memberships. Maintain and manage a comprehensive awards and honorifics database, including eligibility criteria, nomination cycles, deadlines, sponsor requirements, outcomes, and faculty recognition records. Develop and maintain annual nomination calendars and communicate upcoming opportunities to faculty, department chairs, associate deans, and research leadership. Coordinate the preparation and submission of nomination materials, including collecting supporting documents, drafting timelines, tracking approvals, and ensuring compliance with sponsor requirements Serve as the primary administrative liaison for the Honorifics Council, supporting meeting logistics, agenda development, records management, and follow-up on action items Conduct research and environmental scanning to identify prestigious awards, fellowships, academy memberships, and recognition opportunities aligned with faculty expertise and institutional priorities Assist with faculty candidate identification and assessment activities by compiling data from internal and external sources, including faculty records, publication metrics, professional society memberships, and benchmarking tools Support the cultivation and tracking of internal and external nominators, references, reviewers, and sponsors for competitive award and academy nomination efforts Develop reports, dashboards, and briefing materials summarizing nomination activity, recognition outcomes, award pipelines, participation metrics, and progress toward institutional strategic goals Coordinate faculty recognition events, mentoring activities, workshops, informational sessions, and communications promoting faculty honors and awards opportunities Partner with Academic Affairs, Research and Innovation, Faculty Success, college leadership, and external organizations to advance institutional recognition and faculty distinction initiatives Maintain confidential information regarding faculty award strategies, nomination plans, academy candidacies, and institutional recognition initiatives Performs other duties as assigned. Required Qualifications High School Diploma, Vocational Training, or Apprenticeship in a related field. Five (5) years of related work experience. This position may require the ability to maintain the security and integrity of UT San Antonio and its infrastructure per Texas
EO-GA-48.

Ability to travel to and from meetings, training sessions, or other business-related events. Workdays, areas, and work hours may vary depending on the department's needs. Physical Demands Sedentary work; sitting most of the time. Jobs are sedentary; if walking and standing are required, only occasionally. Ability to exert up to 10 pounds of force to lift, carry, push, pull, or otherwise move objects. This position will work primarily on campus .
