Program Coordinator Position Summary We are seeking a highly organized and detail-oriented Program Coordinator to support the successful execution of projects through strong vendor coordination, project administration, and operational support. This position plays a key role in managing project setup, coordinating service orders, tracking vendor performance, processing invoices, and providing general administrative support to ensure projects are completed accurately and on schedule. The ideal candidate is proactive, customer-service oriented, and able to manage multiple priorities in a fast-paced environment. Key Responsibilities Coordinate and manage assigned projects from initiation through completion. Set up new projects in internal systems and maintain accurate project documentation. Issue and track service orders to vendors and subcontractors. Monitor project timelines, vendor deliverables, and project status updates. Review, reconcile, and process vendor invoices for accuracy and timely payment. Maintain organized records of contracts, purchase orders, service orders, and project files. Assist with scheduling meetings, preparing reports, and maintaining project calendars. Support internal teams by providing administrative and clerical assistance as needed. Respond to customer and vendor inquiries professionally and promptly. Identify opportunities to improve administrative processes and workflow efficiency. Perform other duties as assigned to support program operations. Qualifications Associate's degree preferred; equivalent work experience will be considered. Minimum of 2 years of experience in project coordination, program administration, vendor management, or a related administrative role. Experience issuing work orders or service orders and coordinating with external vendors. Knowledge of invoicing, purchase orders, and accounts payable processes. Strong organizational and time-management skills with exceptional attention to detail. Ability to manage multiple projects and competing priorities simultaneously. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite (Excel, Outlook, Word) and experience with project management or ERP systems is a plus. Ability to work independently while collaborating effectively with cross-functional teams.
