Job Overview:
The Business Proposal Coordinator (BPC) has primary responsibility for defining, planning, tracking, and managing the Request for Quotes (RFQ's) and Requests for Information (RFI's) received from the customers. The BPC is responsible for identifying key resources and providing the direction required for meeting the RFQ/RFI objectives. Also, responsible for ensuring appropriate management, customer and supplier involvement throughout the RFQ/RFI process. In addition, the BPC must have or able to develop a technical background sufficient to understand the technologies and technical issues involved with the product, to be able to anticipate and identify critical technical obstacles, and to make accurate technology decisions with the assistance of the Project Team. The BPC must also be able to manage project schedules, task details and utilize project management tools such as reports, tracking charts, checklists, and delegate appropriately. Must be able to manage change and take active leadership in timely decision making. Finally, the BPC must drive the Project Team in completing a competitive RFQ/RFI.
Duties:
Lead and direct all activities from receipt of RFQ to submission of proposal to customer, flag/drive resolution of schedule risks. Work with the Sales team to understand the scope of RFQ/RFI - Voice of Customer, timing, design details, deliverables, and develop the action plan required to meet customer expectations. Establish internal team for each RFQ (Kick-off Meeting). Coordinate cross-functional contributors (systems, mechanical, electrical, software, testing, manufacturing, quality, supply chain, cost estimating) to gather deliverables and signoffs on time. Digest the provided RFQ package and produce a task list of deliverables, due dates and assignees Prepare and lead concept design presentations (TDR) and proposal review briefings (PowerPoint creation, rehearsal coordination, and incorporate reviewer feedback). Ensure internal RFQ questions are captured and delivered to the sales lead for follow-up with the customer Track proposal deliverables and gate reviews; run status meetings and produce concise status reports and action-item trackers. Escalate any issues or delays to management Participate in program binder reviews If business is awarded, work with sales, quality and Director of Engineering to organize Gate 0 and Kick Off meetings Follow up and maintain RFQ/RFI status in Business Development Tracker (RFQ/RFI Tracker), and report out to management on regular basis
Requirements:
