Position Summary The Project Coordinator is responsible for scheduling construction-related work, keeping active contracts and project records current, and coordinating communication among Superintendents, subcontractors, customers, and office staff. This position helps maintain a smooth workflow across new-pool and remodeling projects by keeping schedules, work orders, change-order documentation, invoice requests, project information, and closeout materials accurate and current. The ideal candidate is highly organized, detail-oriented, and comfortable managing several active projects in a fast-paced construction environment. This person must communicate clearly, prioritize competing deadlines, follow through without constant supervision, and keep the field and office working from the same information. What You'll Do Construction Scheduling & Field Coordination Organize and schedule construction work and jobsite visits for active projects. Communicate directly with each Project Superintendent regarding daily project updates, completed work, delays, and next steps. Coordinate scheduling and project information between Superintendents, subcontractors, customers, and office staff. Send clear work orders to the appropriate subcontractors for each phase of every active project. Track project phases, upcoming work, deadlines, and unresolved scheduling issues. Adjust schedules when field conditions, subcontractor availability, materials, weather, inspections, or customer decisions affect the planned sequence. Customer & Subcontractor Communication Communicate confirmed construction dates and schedule changes to customers promptly and professionally. Provide subcontractors with the job address, scheduled date, scope of work, assigned Superintendent, and other information required to perform the work correctly. Follow up on schedule confirmations and unresolved questions before work is released. Maintain clear communication so customers, field teams, subcontractors, and office staff understand current project status and next steps. Contract, Change-Order & Invoice Coordination Keep active contracts, project records, and supporting documentation current. Receive approved change-order information from Superintendents and update the appropriate contract or project records using the company's project-management software. Coordinate change-order information with the General Manager, Accounting, and other responsible team members when required. Send customer invoice requests at the appropriate project phases. Confirm that project and billing information is accurate before documents or invoice requests are issued. Project Management & Recordkeeping Maintain and update the company's project-management system so team members have current information regarding project status, scheduled work, deadlines, and next steps. Enter updates promptly and accurately; do not rely on separate notes or memory as the project record. Keep project documentation organized and easy for the field and office teams to locate. Identify missing information, conflicting dates, or incomplete handoffs and resolve or escalate them before they delay the project. Project Closeout Prepare project care and warranty packages for final walkthroughs. Coordinate with the Superintendent to confirm that required closeout information is complete and ready for the customer. Maintain organized project records through final completion and handoff. What Success Looks Like in Your First 90 Days Active projects are scheduled accurately, and upcoming work is confirmed before customers are given firm dates. Superintendents, subcontractors, customers, and office staff receive timely and consistent information. Project records, contracts, change orders, and invoice requests remain current and accurate. Scheduling problems and missing information are identified early instead of becoming field delays. Work orders contain enough detail for subcontractors to arrive prepared and complete the correct scope. Final walkthrough care and warranty packages are complete and ready when needed. The Project Coordinator is recognized as a dependable communication link between the field and office. Qualifications Minimum of two years of office coordination or administrative experience, preferably in construction or remodeling. Pool-remodeling experience is a plus. Experience using accounting software such as QuickBooks, Foundation, Sage, or a similar platform. Experience with construction or project-management software such as Buildertrend, Procore, or a comparable system. Proficiency with Microsoft Office 365, especially Excel. Familiarity with 90.io and AI-powered tools is a plus. Strong organizational skills, attention to detail, written and verbal communication, and the ability to manage competing priorities. Demonstrated leadership, teamwork, and cross-functional coordination skills. Ability to work independently, follow established processes, and escalate issues when decisions or approvals are required.
