Job Description

GK & Associates is seeking an experienced Project Administrative Coordinator to support majorwater/wastewater engineering and construction projects within the Inland Empire. This is an excellent opportunity for a highly organized professional who enjoys working behind the scenes to keep complex public works and infrastructure projects moving forward. The ideal candidate will have 5+ years of progressively responsible experience in project administration, project coordination, contract administration, or administrative support within an engineering, construction, public works, utilities, or capital improvement environment . Experience supporting multiple Project Managers and working with contracts, invoices, budgets, procurement, and project documentation is highly valued.
WHAT YOU'LL DO
Coordinate administrative activities for multiple engineering and construction projects throughout the project lifecycle. Maintain project trackers, schedules, action items, deadlines, and status reports. Support professional services agreements, construction contracts, purchase orders, task orders, amendments, and change orders. Review and process invoices, pay estimates, purchase requisitions, and project financial transactions. Track project budgets, costs, forecasts, and financial information using Excel and other reporting tools. Maintain organized electronic project files, records, logs, and closeout documentation. Track contract-related documentation including insurance, bonds, preliminary notices, stop notices, certified payroll, and DIR requirements. Coordinate project meetings, agendas, meeting materials, minutes, and action-item follow-up. Prepare and proofread correspondence, reports, spreadsheets, forms, and other project documentation. Support project managers with financial and performance reporting and information gathered from multiple systems.
Required:
5+ years of relevant project administration or coordination experience. Strong knowledge of Microsoft Excel, Word, Outlook, Teams, and PowerPoint . Excellent written and verbal communication skills. Exceptional organization, attention to detail, follow-through, and time management. Ability to independently prioritize multiple projects and deadlines in a fast-paced environment.
Highly Preferred:
Experience with public agencies, utilities, engineering firms, construction companies, or capital improvement programs . Experience with water/wastewater municipality sectors Experience with SAP or other ERP/financial systems . Experience with project management, construction management, or document-control systems. Familiarity with electronic invoice/workflow systems and project records management. Experience with Smartsheet, Power BI, Adobe, Bluebeam, or similar tools . Knowledge of water/wastewater engineering and construction is a strong plus.
THE IDEAL CANDIDATE
