About the Role ALIVE Solar & Roofing is hiring a Project Coordinator Assistant to work in our Escondido office alongside the Project Manager and Service Coordinator. This is a ground-floor, learn-the-business role — you will touch nearly every part of how we run a project, from first permit application to final customer close-out. We are a family-owned solar, roofing, and battery storage company serving San Diego County. Our office is small, our processes are disciplined, and we expect everyone to pull their weight. If you are organized, dependable, eager to grow into a coordinator or PM role, and you genuinely like solving small problems before they become big ones — this seat is for you. You will be trained directly by the Project Manager and Service Coordinator. There is a clear path upward: Project Coordinator → Project Manager is the ladder, and this role is the first rung. What You'll Do ▪ Support the Project Manager and Service Coordinator with day-to-day project tracking across solar, roofing, and battery storage jobs. ▪ Assist in preparing permit applications and submitting documentation to local and state governing bodies. ▪ Help manage and update project schedules in BuilderTrend, keeping records accurate and current. ▪ Coordinate purchasing requests for equipment and materials — tracking order status and flagging timeline risks. ▪ Communicate with customers on project status updates via phone, email, and text under the direction of the Project Manager. ▪ Pull together project documentation including quotes, permits, inspection reports, and SGIP application records. ▪ Answer and route incoming calls to the appropriate department or team member. ▪ Assist with Self-Generation Incentive Program (SGIP) application submissions and monitor approval status. ▪ Flag any scheduling conflicts, missing documents, or cost overruns to the Project Manager promptly. ▪ Take on additional coordination tasks as assigned — this role grows as you do. What We're Looking For ▪ Required High school diploma or equivalent. ▪ Required Strong organizational skills and a genuine attention to detail — you catch the thing others miss. ▪ Required Comfortable working in a fast-moving office environment with multiple simultaneous priorities. ▪ Required Solid written and verbal communication skills — you can write a clear customer email and handle a professional phone call. ▪ Required Intermediate computer skills — email, spreadsheets, cloud documents, and web-based tools. ▪ Preferred 1-2+ years of office, administrative, or coordination experience in any industry. ▪ Preferred Experience in construction, roofing, solar, or a related trade environment. ▪ Preferred Bilingual in English and Spanish — many of our customers and crews communicate in both. ▪ Nice to have Familiarity with BuilderTrend or similar project management software. ▪ Nice to have Basic understanding of permitting processes or SGIP applications. What We Offer Pay — Hourly + Growth Path This is an hourly, non-exempt position paid weekly. Starting rate is based on your experience and what you bring to the table — no games, no lowball. As you grow into the coordinator role, pay moves with you. ▪ Starting range: $20- 25/hr depending on experience. Most candidates without prior construction or coordination experience start at $20
