About Us Castlebrook Barns is a leading manufacturer of modular buildings and horse barns located in Fontana, California, with strong brand recognition in the equestrian industry. For more than 25 years, we have built our reputation by combining quality materials, innovative technology, and thoughtful design to create structures centered around the safety and comfort of the horse. We work with customers throughout the United States, taking their projects from design and production through delivery and installation. Because every project is unique, our team works closely together to coordinate the many details required to move each project successfully from our facility to the customer's property. Job Description We are looking for an organized, proactive Customer Project Coordinator to help manage customer projects from order through delivery and installation. This is not a traditional call center or customer service position. Our projects move through multiple stages, and this role is responsible for helping keep each project on track while serving as a primary point of communication for our customers. The ideal candidate is someone who can confidently manage multiple active projects at different stages, recognize what requires immediate attention, and prioritize their day accordingly. Not every task will be completed in one day, so the ability to determine what needs to happen now, what needs to happen next, and what can wait is essential. This position requires strong communication, organization, follow-through, problem-solving skills, and the ability to take ownership of assigned projects. Key Responsibilities Manage and track multiple customer projects through various stages of the process. Communicate with customers regularly by phone and email regarding project status, upcoming deadlines, scheduling, and required information. Proactively advise customers of important dates and requirements to help keep their projects on schedule. Coordinate freight, shipment dates, contractor schedules, and installation dates. Communicate with internal departments, contractors, trucking companies, and customers to coordinate project requirements. Follow up on outstanding items and ensure important details do not fall through the cracks. Identify scheduling conflicts, missing information, or potential delays and work toward solutions before they impact the project. Maintain accurate project records, correspondence, dates, and documentation. Prioritize daily responsibilities based on deadlines, urgency, and the needs of each project. What We're Looking For Experience in project coordination, customer service, operations, scheduling, or a similar role. Excellent written and verbal communication skills. Strong organizational and time-management skills. Ability to manage multiple projects, deadlines, and priorities simultaneously. Strong attention to detail and accuracy. Ability to independently determine priorities rather than relying on a fixed daily task list. Strong follow-through and a sense of ownership over assigned responsibilities. Comfortable communicating professionally with customers, contractors, vendors, and coworkers. Ability to problem-solve and adjust when schedules or circumstances change. Proficiency with Microsoft Outlook, Word, and Excel. Willingness to learn our products, processes, and industry. This Position May Be a Good Fit If You... Enjoy being the person who keeps things organized and moving forward. You are comfortable having several projects on your desk at once and understand that priorities can change throughout the day. You don't need every day to follow the same checklist. Instead, you can look at your workload, identify what is most important, follow up where needed, and make sure the next step happens. You communicate well with customers while also being comfortable setting expectations, discussing deadlines, requesting information, and following up when something is needed. Most importantly, you take ownership of your work and don't assume that someone else will follow up on an outstanding item. Starting at $25.00 per hour and up (Depending on Experience)
